Ecosource is seeking an Administrative & Communications Assistant

Full-time, 35hrs per week, one-year contract with possible extension


Who We Are: Ecosource is an innovative environmental organization that empowers
the community to become more environmentally responsible through creative
public education. We specialize in hands-on programming that aims to increase
environmental sustainability in Peel Region and beyond.

The Position: Ecosource is seeking an enthusiastic, creative, and
detail-oriented Administrative and Communications Assistant to work as an integral
part of the Ecosource administration team. You will provide administrative
support to the Ecosource office and actively support Ecosource’s communications
and fundraising efforts. This position provides the heartbeat to our busy
organization and requires a positive, organized, and forward thinking
individual who will take initiative.

Responsibilities:

Reception
• Answer general phone inquiries and direct callers to the appropriate staff
members
• Reply to general information requests with accurate information

Office administration
• Provide administrative support to management and other staff
• Schedule and coordinate appointments for Executive Director
• Liaison with property manager and IT support team
• Use computer word processing and spreadsheet to prepare documents and reports
• Sort incoming mail, faxes, and courier deliveries for distribution
• Prepare and send outgoing mail and courier parcels
• Purchase, receive, and store the office supplies ensuring that basic supplies
are always available
• File documents according to the established procedures, including electronic
files through Microsoft Sharepoint
• Coordinate the maintenance of office equipment and regularly back-up
electronic files
• Support the research and development of an organizational database
• Perform such other duties as may from time to time be required to assure a
smooth operation of the organization

Assist with financial management and fundraising activities
• File financial material according to established records management
procedures
• Prepare accurate bank deposits
• Assist with fundraising proposals and reports as required
• Maintain donor list and relationships with donors through email and mail
contact
• Support coordination of annual giving campaigns

Public Relations and Communications
• Update the website using the WordPress platform
• Create a regular publishing schedule for social media channels such as
Twitter and Facebook
• Prepare email newsletters for distributions using MailChimp
• Update and ensure the accuracy of the organization’s distribution lists for
public relations activities
• Maintain photo and video library and facilitate use of high quality visuals
• Support the design and distribution of relevant, original, high-quality
promotional materials and reports
• Update communications templates to be used by staff for promotions and
presentations

Qualifications:
• Successful completion of a post-secondary degree in communications,
not-for-profit management, business administration, and/or relevant work
experience
• Must have 3 years or more of administrative experience, and experience in the
nonprofit sector
• Superior abilities in Microsoft Office skills including Sharepoint,
PowerPoint, Word, Outlook, and Excel
• Superior written communication skills and strong research and report writing
skills
• Superior visual communications skills, including design ability and
experience producing print and online communication materials
• Experience with Adobe Photoshop, Illustrator, and InDesign
• Experience with website design and maintenance using WordPress
• Experience with coordinating social media content and using social media
management tools
• Experience with e-newsletter management
• Knowledge of social networking analysis tools
• Experience with not-for-profit fundraising and database management is a
definite asset
• Able to work independently and take initiative, problem solve, and work as
part of a team
• Excellent attention to detail, oral communication, time management and
organizational skills
• Sound judgment, tact, and ability to maintain confidentiality
• A sense of humour is an asset!

Deadline for applications is Wednesday, August 10, 2016. Salary for this
full-time position is $40,000 annually for a 35 hour work week, with vacation
annually. Desired position start date is end of August/early September 2016.
