Administrator
1. Understand and articulate the company’s key business goals and objectives.
2. Provide strong organizational and clerical support to company owner.
3. Closely monitor contractual agreements with maintenance clients. Report discrepancies immediately to the company owner.
4. Manage the selection and orientation process for new staff in consultation with company owner and other managers.
5. Order construction and planting materials.
6. Support the scheduling and supervisory efforts of the Maintenance Chief & Construction Site Supervisor.
7. Update company website as needed.
8. Visit client sites when required.
Bookkeeper
1. Receive time sheets from crew and assign to correct client.
2. Monitor employee reporting on time sheets. Report discrepancies immediately to the company owner.
3. Perform all accounts receivable functions, track client expenses, prepare and send invoices within established company standards and follow up on collections.
4. Receive, process verify and sign and date vendor invoices. Report discrepancies with vendor invoices immediately to the company owner.
5. Prioritize and pay vendors in a timely fashion.
6. Inform the company owner when client/vendor invoices remain uncollected/unpaid for more than 30 days.
7. Collaborate with the construction site supervisor in the creation of bi-weekly reports on existing construction projects: budget to actual, expenditures against client deposits, etc. and present jointly to owner.
8. Track all government remittances and pay them on due dates to avoid penalties.
9. Perform bank and credit card reconciliations.
10. Prepare P&L and Balance Sheet reports on a monthly basis for accountant and company owner.
11. Produce year end reports for accountant and company owner.
Critical Knowledge, Skills and Attitudes
The successful candidate is expected to demonstrate proven success in the following areas:
• Minimum 5 years of experience as an administrator/bookkeeper.
• Professional landscaping experience while an asset is not necessary.
• Financial Acumen
• Possesses a strong command of general bookkeeping practices and most current version of QuickBooks software.
• Proficient in Microsoft Office 2007 (Outlook, Excel, Word, PowerPoint).
• Closely monitors key business metrics and reports problems immediately to the company owner.
Organizing and Planning
• Possesses solid knowledge of general office procedures and office equipment.
• Employs strong time management and organizational skills including identifying and setting personal work priorities.
Leading and Influencing Others
• Manages employees to established company standards.
• Demonstrates empathy and fairness with peers and staff members.
• Communicates internally and externally using superior writing and verbal skills.
• Interacts with peers and staff with a focus on developing and retaining talent.
