Location: Chilliwack, British Columbia
The Certified Organic Associations of BC (COABC) is seeking to contract a professional event coordinator to work closely with a committee to plan and host a large three day conference in Chilliwack, BC in February 2012.
The Contractor shall be responsible for:
• Developing and printing an event schedule.
• Assisting with booking and preparing for seminar speakers.
• Working with venue representatives and caterers.
• Arranging for advertising.
• Soliciting donations of food and money from the organic trade.
• Determine catering menu. Arrange for a liquor license if needed.
• Arrange for decorating of the venue.
• Coordinating volunteers to assist at the event
• Managing the event on-site including registration, rooms, seminars and meals.
• Developing a budget for the event, maintaining records and working to stay within that budget.
• Attend meetings/teleconferences according to schedule.
• Developing a final report of the project, including final budget and survey evaluation summary.
The Contractor shall possess the following qualifications to ensure a successful outcome to the event:
• Proven professional ability to coordinate an event of this scope
• Sound knowledge of the organic principles and community
• Ability to fundraise and secure local sponsorships
• Proven management and financial skills
• Flexibility and good interpersonal skills
• Ability to communicate effectively in all formats including electronic, by phone and in person
• Maintain an office independent of the COABC
The term of this contract shall be from July1, 2011 until April15th, 2012. Compensation, details and terms will be negotiated with the COABC Administrator.
