Duties and responsibilities
Administrative tasks:
- Planning of meetings and minutes preparation
- Assist with event planning and implementation
- Perform work related errands as requested
- Update and maintain databases such as mailing
lists and contact lists - Database entry when required
Office management
- Welcome guests and visitors and provide
necessary information and assistance - Oversee campus cleanliness, safety and
security - Ensure Akilah properties are properly
maintained and serviced - Campus key management and security
- Overall execution of day-to-day operations
- Ensures a regular and detailed inventory of
all Akilah properties and equipment (IT, furniture, telecommunications,
furniture, supplies, Akilah gift Shop, etc) - Maintains supplies by checking stock to
determine inventory levels; anticipating requirements; ensuring timely and
well organized purchase of needed materials and delivering supplies to
work stations - Provide staff assistance when required
Library management
- Oversee and manage the organization of
Akilah’s library - Create an efficient library tracking mechanism
for borrowed and unreturned books - Supervise and provide assistance to Students
on needed books - Ensure all books are recorded and properly
monitored
Qualifications and Skills
- Experienced administrative professional who is
dependable and highly organized with business maturity, discretion,
enthusiasm, and a positive attitude
- Previous experience in an office setting
required
- Skills in establishing priorities and managing
workload
- Excellent oral and written communication
skills
- Strong organizational skills and record
keeping (attention to detail is critical)
- Good computer and internet skills including
familiarity with Microsoft Word and Excel, internet and use of e-email and
group messaging.
