Position:

Purpose
of the position
To
contribute to the key objective of the Actionaid programme as well as providing
support in Administration function by providing reliable services to both local
and international visitors, partners and safe driving of the project vehicle
and ensure its regular maintenance with Monthly report. 
Major
Responsibilities

  • Support
    the project manager in operationalization of activities of the project in
    relation Donor requirements and ActionAid Rwanda’s Vision and Mission.
  • Assist
    in the day-to-day operations of team’s programs and setting up plans and
    ensuring timelines are met.
  • Assist
    in Project M&E related activities including local visits
  • Assist
    the project Manager to schedule appointments and meetings for stakeholders
    and prepare critical support to partners and line manager
  • Provide
    information regarding project and programme, policies and procedures to
    internal and external contacts.
  • Ensure
    internal and external mail distribution and collect mails/courier to and
    from the respective destination.
  • Prepare
    correspondence, data, and other information as may be required by the
    project manager and project accountant.
  • Support
    the project manager and accountant in administration needs like Logistics,
    office security, inventory management, etc.…
  • Support
    both project manager and accountant in preparing various requests for
    payments, activities implementation, workshops, trainings, travels etc…
  • To
    manage the use of the vehicle so that the needs of the department are met
    in a timely and cost-efficient manner, and to drive carefully,
    thoughtfully and ensure the safety of the vehicle and bide by AA vehicle
    management policy as well as keeping the log book.
  • To
    keep the vehicle safe and clean, regular checking (fuel, engine, tyres and
    body) and ensure service is done on the right time.
  • To
    report vehicle mechanical problems promptly and recommend possible actions
    to fix the problems to ensure effective running of the project activities.
  • Be
    well informed about the vehicle budget levels.
  • Adhere
    and uphold to organizational policies pertaining rules, regulations and
    values in driving.
  • Maintain
    record and non-record filing systems and ensure that records are archived.
Other
External Responsibilities
  • Building
    a good name for the organization by showing good conduct to the public in
    places visited and also to staff being driven, as well as being courteous
    to other road users.
  • Liaising
    with Admin to ensure all statutory vehicle documentation i.e. Road
    licenses, vehicle inspection, insurance covers, are up to date and are on
    the vehicles.
  • Apply
    the regulations of the Highway Code in the course of driving AAIR vehicle.
  • Understand
    and apply basic first aid and firefighting principles for the vehicle and
    passengers.
  • Carry
    out daily vehicle inspections to make sure all systems are fully
    operational for optimum all weather usage.
  • Understand
    the basic principles of vehicle mechanics so as to identify defects as
    they develop and report them promptly for rectification.
  • To
    carry out other work related duties as assigned in the office by
    supervisor
Critical
Competences
  • Experience
    in international development work
  • Computer
    skills(Microsoft Work, Excel and Power Point) with a certificate
  • Knowledge
    and skills of logistics and stores Management
  • Experience
    of community based work especially working with local partners, Local
    authorities and development Partners
  • Ability
    to collect stories of change and case studies and report writing
  • Must
    have valid driving License class B, C & D
  • Must
    have communication skills
  • Ability
    to solve complex conflicts
  • Should
    have negotiation skills
  • Ability
    to organize, coordinate, Plan and make priorities
Qualifications
  • At
    least advanced level (A-Level) certificate.
  • Certificate
    of completion of training in motor mechanics for a recognized TVET
    Institute in Rwanda at least for 1 year
  • Driving
    experience of at least 3 years in NGO setting certified by service
    certificates
  • Able
    to read, write and communicate fluently in English, French, Kinyarwanda
    and Kiswahili.
  • Aware
    of security issue and strategies of response to danger.
  • Must
    be regularly punctual and time keeping.
  • Task
    oriented, self-confidence, quick learner with high level of integrity and
    a team player.
  • Be
    able to work with people of diverse cultural backgrounds within and
    outside ActionAid Rwanda.
  • The
    position will be based in Nyanza LRP with frequent travel to
    Gisagara,Nyaruguru,Karongi,Musanze District and Kigali.
