Job role
including and not limited to:
– Provide
reliable initial front office, email and telephone advice to students and staff
as required.
– Respond in a
timely and appropriate manner to verbal and written queries from prospective
and current students.
– Coordinate
administrative matters and enquires relevant to the course work programs
including examinations, processing
credit applications and assist with error
checking for data reporting.
– Assist with
selection of students; record and maintain application information on RTO
systems and ensure timely processing of offers and acceptances.
– Provide
advice to current and prospective students on AITT rules and regulations,
enrolment, progression, examinations, fees, or any other matter relating to the
completion of the program.
– Assist with
administration of supplementary assessment or examination.
– Liaise with
other organisations, government and Central Administration regarding matters of
policy, and procedures related to student administration.
– Contribute
to the development and implementation of administrative procedures for programs
offered through the RTO.
– Manage the
interruption to studies process including providing reports and maintaining the
database.
– Provide
student reports each semester to the student coordinator on results and
attrition rates.
– Prepare
non-standard letters and other correspondence in relation to student matters.
– Support
Coordinators with the production and dissemination of course profiles for
student courses.
– Monitor and
maintain student marks and finalise marks for upload.
– Maintain
current student records and student files.
– Coordinate
assessments, including setting up online assessments, assessing requests for
extensions, maintenance of electronic files and monitoring late submissions.
– In
conjunction with the Student and Academic Administration Manager, assist all
staff with queries and maintain knowledge of updates to catapult.
– Assist
training coordinators with the maintenance of the job ready sites for courses,
work collaboratively with the student trainers.
– Assist the
Student and Academic Administration Manager on matters relating to student and
academic administration including the student investigation process.
– Assist with
the development, implementation and maintenance of systems and processes to
promote the efficient operations of student service responsibilities for the
organisation.
– Undertake
relief reception duties when required.
– Assist with
administration of supplementary assessment or examination.
SELECTION
CRITERIA
Essential
– Completion
of an undergraduate degree; or an equivalent combination of relevant experience
and/or education/training.
– Empathy and
ability to communicate with students, including an awareness of cross-cultural
differences.
– Demonstrated
ability to effectively communicate with varied clients and stakeholders.
– High level
computer skills, including word processing, data storage and retrieval,
administrative systems (Job ready, Catapult) for the accurate collection,
detailed analysis and reporting of information.
– Experience
in dealing with people at all levels of an organisation.
– Ability to
be flexible and adaptable to change and willing to explore new options and find
creative solutions to problems.
– Initiative,
flexibility and willingness to work across a range of activities.
