The Concept is
looking for a highly motivated and organised Personal Assistant/Studio Coordinator
for the two company Directors.
The
role:
The successful
candidate will bring a maturity to the role and harness previous experience to
become part of a dynamic creative studio environment. You will need to be
highly organised, be able to work autonomously and also as part of a team while
demonstrating a professional manner at all times. You will need to be able to
work with the company Directors as well as ensuring daily/weekly tasks are
always completed. A high attention to detail with exceptional communication
skills is a must.
Responsibilities:
– Be the first
contact for all general enquires from clients and suppliers, answer all
incoming calls and take necessary messages.
– Update daily the
studio management software, Briefcase (training provided).
– Create job tickets
and job bags for all new jobs, maintain clean filing and work with the studio
internal Server.
– Manage the studio
workflow keeping the Studio Director and Creative Director up to date with all
new jobs and traffic.
– Maintain office
stationery/materials including ordering as required.
– Liaise with
various suppliers including couriers.
– Proofread all jobs
before sending to clients and work with designers to make necessary changes as
required.
– Manage and
escalate issues/jobs that require urgent attention.
– Ad-hoc studio
requests and general studio up-keep including cleaning to maintain a tidy
studio.
– Maintain
discretion on sensitive and confidential material/information.
