Collectif Tubakunde asbl is a national nonprofit umbrella of advocacy for children with special needs and especially children and youth with mental disabilities. Collectif Tubakunde asbl has received funds from LEV
National Association in Denmark to implement a project “New Deal-Parents for Active Advocacy (NDPAA)” aimed at enabling persons with intellectual disabilities and their parents to participate in an inclusive society and come together to form a strong pressure group to advocate for the rights of children and youth with mental disabilities. The NDPAA project runs for 18 months and will further increase the capacity of Collectif Tubakunde asbl and individual parents to respond effectively to the needs of people with mental disabilities and to advocate and lobby on their behalf. At the same time the project will ensure the organizational, knowledge and economic sustainability of Collectif Tubakunde asbl as a national NGOS umbrella.
Collectif Tubakunde asbl is seeking to recruit mature, dynamic, energetic and result-oriented professional to take up the following position in the NDPAA project:
Administrative Assistant Reports to: Executive Secretary
Contract Period: 1 year
Duty station: Kigali Town.
The organization is seeking to recruit a capable person to fill the above post. The Administrative Assistant will report to the to the Executive Secretary and will be expected to provide administrative and financial support to leadership and management of the organization.
Duties:
•Maintain workflow by studying methods, implementing cost reductions and developing reporting procedures.
Create and revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements and implementing changes, if required.
•Develop administrative staff by provicling information, educational opportunities, and experiential growth opportunities.
•Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
•Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
•Provide information by answering questions and requests to Collectif Tubakunde
•Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies.
•Complete operational requirements by scheduling and assigning administrative projects and expediting work results.
•Contribute to team effort by accomplishing related results as needed.
•Coordinate the preparation of annual and quarterly work plans and budgets and implement the same on approval.
•Contribute to Management tools’ setting, implementation and improvement
•Preparation of purchase plan according to the budget and procurement law
•Prepare, write and send outgoing mails after recording in appropriate register
•Receive, read and file or forward incoming mails after recording in appropriate register
•Organize travels of staff, BOD, members and guests of TUBAKUNDE
•Ensure the office and equipment are clean
JOB REQUIREMENTS
•Rwandan Nationality
•Educational background could be an advanced diploma (Al) in Management, Development studies and Business administration from a recognized university
•Demonstrated experience in Accounting.
•Experience in book keeping
•Minimum of 3 years on similar role and experience in nonprofit organization NGOs would be an added advantage.
•Team work
•Sensitive to rights of people with intellectual disabilities
•Ability to organize own work independently; take initiative and willingness to work beyond normal working hours.
•Computer Literacy with hands on experiences in using MS Word, Excel, PowerPoint presentation, Publisher and Internet skills.
•Valid driving license category B
•Fluency in oral and written English, French and Kinyarwanda.
