Key responsibilities:
The administrative assistant will work very closely with the entire project team to accomplish the following
tasks:
– Provide a comprehensive secretarial and administrative support to the project coordinator including: drafting correspondence, minute taking, filing and records keeping and related tasks;
– Manage office systems and filing procedures, plan, schedule and coordinate meetings, appointments and other activities;
– Assist the procurement specialist with filing and follow up on all urgent signatures including delivery of requests for quotations and other correspondences;
– Follow up on contract signatures with different authorities and ensure that they are signed on time;
– Check deadlines of incoming requests and advise the project coordinator accordingly;
– Maintain calendar and ascertain which events require the project coordinator’s presence;
– Ensure judicious handling of all the project office issues;
– Attend to visitors, guests and serve as an information manager for the project office;
– Perform any other duties that may be assigned by the coordinator.
Required Academic Qualifications, Knowledge, Competences and Skills:
– Rwandan national preferred;
– Demonstrated ability to manage processes and maintain accurate records;
– Ability to work independently and maintain flexibility in working hours;
– Demonstrated planning and effective organizational and analytical skills and ability to handle work in an efficient and timely manner;
– Demonstrated ability to coordinate tasks to meet deadlines;
– Team player;
– Good interpersonal and communication (written and oral) skills;
– Demonstrated ability to develop and maintain effective work relationships with colleagues.
– At least 1 year of university education (Bachelor) in Public or Business Administration, Secretarial studies, Management, Economics and other related fields;
– At least 1 year of working experience in providing assistance in project coordination and implementation;
– Knowledge of and interest in the field of Information and Communication Technology (ICT) is an advantage;
– Excellent communication in English and/or French and working knowledge of the other;
– Computer literacy – sound and current knowledge of Microsoft Office package email and the Internet is a must;
