Volcanoes Safaris
(“VS”) is a unique great ape eco-tourism business specialising in mountain
gorilla safaris to Africa, in particular to Uganda and Rwanda. It was founded
in 1997 and has taken over 6,000 clients on gorilla safaris. It employs over
100 people.
VS has an office in
London. In Africa, its main office is in Kampala (Uganda) and it has a
subsidiary office in Kigali (Rwanda). Its lodges are close to Parc National des
Volcans (Rwanda), Mgahinga Gorilla National Park (Uganda) and Bwindi
Impenetrable Forest National Park (Uganda) and Queen Elizabeth National Park
(Uganda).

join an exciting team at Volcanoes Safaris Ltd to fulfill the following positions:
1.
Reservations Consultant (1)
Duties:
- He/she
will be in charge of the booking received from the sales team, - In
Charge of booking Volcanoes Lodges - In
Charge of booking 3rd Party accommodations, - In
charge of booking and monitoring the gorilla permit purchases from RDB,
top up and making sure that all sales team permit requests are taken care
of. - Preparation
of the final itinerary, - Preparation
of client welcome kit, - Briefing
driver guides and debriefing sales consultants. - Re-confirming
client’s departure flights. - Reconfirm
lodge/hotel bookings.
Requirements:
- A
diploma in hotel management, tourism or any other related field - At
least one year experience reservations - English
(both writing and speaking)
2.
Operations Manager (1)
Duties:
- Responsible
for operational work of the Kigali office - Organize
and ensure smooth running of all Safaris - Taking
forward the restructuring of the Kigali office as agreed with management - Planning
of driver / guide roster – monthly in advance - Responsible
for expenses, cash, fuel, wage bills, allowances etc. - Ongoing
monitoring of drivers / guides with regards the operations schedule daily - Complete
daily reports on operations schedule (wins and issues) - Ensure
policies and procedures are being adhered to - Organizing
the office layout and maintaining supplies - Negotiating
with 3rd party suppliers (Accommodation, Freelance guides & transport
companies) - In
house training on customer handling and procedures - Ensuring
Customer satisfaction
Requirements
- Bachelors’
degree in Business, tourism, management, public relations or related
discipline. - Minimum
5 years senior management experience within the luxury travel industry
preferably focused on Africa (East Africa). - Considerable
strategic and tactical planning experience - A
proven track record of implementing and managing change. - Knowledge
or experience with tourism, adventure travel, international business
dynamics and process improvement. - Long-term
commitment preferred.
3.
Operations Manager (1)
Duties:
- Timely
delivery of logistics to the guides, clients and lodges. - Ensure
all safari vehicles are attended to/checked by the workshops prior to
safaris taking off. - Ensure
guides report all emergency issues in the field that affect clients,
vehicles and safaris in general (tourist destinations). - Participate
in the allocation of safari vehicles to Guides in both Rw/Ug. - Review
and confirm welcome pack kits are well prepared and delivered to driver
guides - Prepare
and circulate safari report summary as per the evaluation form to sales
and safari team - Planning
of transfer schedule – weekly in advance then daily with changes - Planning
of tour and charter schedule – monthly in advance, then daily with changes - Briefing
drivers and guides of requirements for next day, update - Daily
vehicles inspections (am & pm)
Requirements
- A
diploma in hotel management, tourism or any other related field - Must
have min 3 years experience in a managerial position, - Be
hands-on, - Computer
literate, - Guide
