1.POSITION IDENTIFICATION

Administrative Assistant/Book-Keeper
Position Type

Full Time.
Reports to
Finance & Operations Manager.
Function Area / Department
Finance & Logistics.
Location
Kigali- Rwanda.
2. POSITION OBJECTIVE
To undertake the day to day administration and
financial support of Our Client. The position will ensure that Our Client
maintains high standards of financial and administrative integrity and
accountability in line with all legal obligations.

General Duties and Responsibilities

  • Maintain a petty cash system and reconcile at
    agreed timelines.
  • Receive and verify invoices and requisitions for
    goods and services.
  • Supervision and recording of daily payments and
    receipts.
  • Monitor office supply levels and reorder as
    necessary with management approval.  
  • General office administration including; filing,
    and drafting work documents among others.
  • Provide clerical and administrative support to
    other staff and management when required.
  • Perform other duties as required and broadly
    consistent with the role of Administration and Finance.
Qualifications
  • 1-2 years’ experience in book keeping and office
    Administration.  
  • Relevant qualification in Business Management.
Essential Skills and Experience
  • Knowledge of book keeping and office
    administration procedures.
  • Knowledge of accounts payable, accounts
    receivable and maintaining general ledgers.
  • Ability to maintain a high level of accuracy in
    preparing and entering financial information.
  • Attention to detail and a high level of accuracy.
Desired Skills and Experience
  • Experience in using accounting systems like
    QuickBooks/Tally.
  • Knowledge of logistics and inventory management.
  • Commercial awareness.
  • Cost savvy. 
  • Analytical and problem solving skills.
 Competencies Required
  • Strong command of English and Kinyarwanda.
  • Ability to operate computerised accounting,
    spreadsheets, word processing programs and email.
  • Planning and Organisation skills.
  • Effective written and communication skills.
  • Strong Team Player.
  • Ability to thrive under pressure.
