against humanity and manages Kigali Genocide Memorial. Besides managing the

General Description:
The purpose of this role is to manage the Country
Director`s office and provide a consistently high standard of professional
support in order to ensure that he is able to operate in an efficient man

and maximise the use of his time. The Executive Officer will act as
first point of contact for the Country Director, acting as ‘gatekeeper’ to both
internal and external contacts.
Key Responsibilities
- Stakeholder Management
- Communicate and build relationships with internal
management staff and board members. Liaise with Heads of Department
on behalf of the Country Director. - Develop strong relationships with external
stakeholders including Government of Rwanda contacts, members of the
diplomatic community, NGO partners, institutional and private funders. - Manage extensive contacts database, ensuring
appropriate use of data by all staff. - Facilitate successful visits and functions for
staff, external stakeholders and dignitaries. - Management Support
- Produce letters, reports, speeches and papers as
requested, undertaking research and liaising with the Heads of Department
team. - Research and compile briefings; provide
pre-meeting oral briefings. - Contribute to programme design as directed by
senior management: conduct supporting research, compose grant narratives
and compile basic financial information when directed. - Prepare management reporting materials for both
internal and external use. - Support internal communication to enhance
information sharing: compile weekly Rwanda update, act as point of contact
for UK staff. - Logistics and Administration
- Provide administrative support to the Country
Director including the scheduling, coordination and minuting meetings;
oversee travel arrangements and liaise with the finance department. - Manage the diary of the Country Director.
- Organise meeting venues and facilitate travel
arrangements. - Oversee general office duties including
coordinating lunches, arranging couriers, managing and booking meeting
rooms. - Work with the internal controls team, ensuring
procedures followed appropriately by staff. - Utilise strong IT skills to develop and implement
processes to ensure appropriate knowledge management and efficient record
keeping. - Line manage the Administrative Assistant to support
delivery of the above as appropriate
The following knowledge, skills and abilities are
required through a combination of formal schooling, self-education, and prior
experience or on the job training.

Qualifications required (must have):
- Bachelor’s degree in management and
administration - 2+ years in similar role or project related
experience in the third sector - Exceptional ability to organise, communicate and
maintain the highest standard of professionalism - Fluent English, French and Kinyarwanda
Desirable:
- Master’s Degree in relevant field i.e. Human
Rights; Genocide Studies; International Relations etc - Project Management Qualification
- Experience of working on peace building dialogue
and debate - Experience of working with Senior Management
- Experience of working unaided
- Knowledge of the recent history of Rwanda and its
political landscape
