FILE ORGANIZATION IN THE COMPUTER


This depends on what the user wants the computer to
do with the already stored file e.g. to delete or restore deleted file, rename
a file, create folder, copy into a floppy etc.

Delete
files,
this means that
files that are not desired may be deleted. The file will only be deleted to
what is known as recycle bin, (only for files in the computer’s hard disk)
which is a temporary storage in your computer, as you may need the file later,
or another time.
Restore
deleted files through the recycle bin:
This is only possible if you deleted the file from the permanent
storage of your computer. If you delete a file from a floppy disk you cannot
restore it.
To restore deleted file from the recycle bin
       Double click on the recycle bin to open it
       All the recently deleted files will appear
       Select the file you want to rescue from the bin
       Select restore.
This file will be restored to where it was (that is
my document). Recycle bin has a limited capacity, so after files have been in
it for a while they will be deleted permanently.
Rename
files:
You can change the
name of any file in your storage area. Ensure that the storage area is open.
Find the icon of the file you want to rename.
       Right click the file icon. You will see a menu
       Select rename from the menu
       Type the new name for the file
       Press enter.
Create a Folder
You can
make new folders in your storage area and use them to store your files. This
makes your storage area more organized, particularly if you have lots of files.
        
Open the
file menu
        
Select
new
        
Select
folder
        
Type in
the name of the new folder
        
Choose
the OK button
OR
        
Press ALT
F & N
        
Choose Ok
button
Copy
Files to a Floppy Disk
If your files are stored on the hard disk or on the
network you can easily copy them into a floppy disk as a back-up.
        
Insert
you floppy diskette
        
Click
Save As
        
Click on
document
        
A menu
will show so
        
Select 3
½  floppy (A)
        
Type the
name you wish to save your file as
        
Click
save
You can also go to my computer as a window
        
Drag the
file icon to the floppy disk icon and then save your work.
Saving
a Document
It is advisable to save in your file from time to
time because of sudden electricity failure so as not to loose your work.
To
save a new document
The first time you save your work as a file you
save the file with a name.
        
Click
file, a menu will come down
        
Select:
Save As, another menu will be displayed
        
Key in:
file name, this is the name you wish to give the file you are just going to
save.
But
for a file you have previously opened:
     Choose: save from the file menu.
This file will automatically be added and saved
inside that previous file you have created.
Choose SAVE button: Thereafter any other time you
want to save into the same file just select SAVE from the file menu or press
CTRL + S. This will quickly save the file: using the same storing location.
If you want to change the file name:
        
Click
file
        
Choose
Save As
        
Key in
the new name you want to change to in the save option
        
Clicks
save.
Handling
of Storage Devices
i.           
Do not
expose to sunlight and humidity
ii.           
Do not
bend or fold
iii.           
Do not
allow to drop or allow them to fall
iv.           
Do not
remove when the drive light is on
v.           
You
should have a disk bank
vi.           
Run an
activities software so that it will not have virus on it
vii.           
Do not
expose to magnetic field.
