PURPOSE AND SCOPE OF POSITION
The Supervisor Travel and Visiting Missions serves as the first line manager and is accountable for monitoring and coordinating the services of the Bank Travel Contractor (Implant of seven team members) as well as supervising the three staff of the Visiting Missions Support Team. The end goal is to ensure smooth functioning and superior quality travel/visa/administrative services to the New Delhi Office and to visiting Bank staff from Washington and Country Offices. Note: If the selected candidate is a current Bank Group staff member with a Regular or Open-Ended appointment, s/he will retain his/her Regular or Open-Ended appointment. All others will be offered a 2 year renewable term appointment.

Duties and Accountabilities
Travel
• Ensure compliance of World Bank rules and regulations, policies and strategies on travel management.
• Provide counseling to staff in NDO and visitors from Washington and other Country Offices on travel matters, including entitlements, travel route and hotel arrangements/agreements
• Monitor performance of the Bank Travel Contractor in accordance with Bank policy and provisions in the Travel Contract of the New Delhi Office to ensure high quality professional services and competitive prices.
• Conduct bidding procedures for NDO Travel Contract
• Reviewing and Approving of Business Travel Account (BTA) for payment of travel bills.
• Conduct negotiations with hotels for discounted room rates. Survey and analysis of most competitive hotel prices and quality of hotel services; submission of report to GSDTR in HQ and distribution of the hotel list to staff at NDO. . Visas
• Processing requests for visas for all World Bank travelers, as well as advising and assisting in appropriate Indian visas for relocating International Recruited Staff (IRS) and their families.
• Assistance in processing of applications and renewals of UNLP for World Bank staff.
• Country Clearance Officer (CCO) designate for India security clearance.
• Liaise with Ministry of Home Affairs (MHA) and Ministry of External Affairs (MEA), in regard to visa cases if required
• Accompany staff/consultants to the MHA, Foreigners Regional Registration Office (FRRO), or POLICE STATION if required Visiting Missions
• Supervise and coordinate services from the Visiting Missions Support team.
• Allocate requests for conference assistance and supervise Visa requirements.

• Good knowledge of unit’s business processes and procedures, and ability to make appropriate linkages in work requirements and anticipate next steps.

• Ability to adapt to changing business needs by continuous learning/training.
• Ability to produce high-quality work under pressure.
• Ability to pass relevant Bank Group tests in place at time of recruitment (e.g. English language, computer applications etc.,) as required.
• Willingness to work overtime if required and be available 24 x 7 for any travel related emergencies

WORK RELATIONSHIPS
1. Reports to Senior Resource Management Officer
2. Interacts with all NDO ACS and Professional staff.
3. Interacts with Procurement (GSDPR) and Travel Staff (GSDTR) in Washington.

Selection Criteria
1. Qualifications Graduate Degree
2. Diploma/Certificate in Travel Course from a recognized Institute
3. Experience 5-7 years of work experience in business environment
4. Knowledge of the Bank’s administrative and travel policies would be an added advantage
5. Ability to maintain accuracy and requirement level of detail
6. Knowledge of accounting policies and procedures would be an added advantage.
7. High level of personal and professional integrity
8. Ability to prioritize work
9. Ability to work in a high pressure environment and to meet deadlines, in a team environment
10. Ability to use relevant office technology in relation to different work aspects
11. Fluency in English and local language, i.e. Hindi
