This position is
fully responsible for the project billing process, including responding to
client inquiries, verifying employee’s chargeable time; in accordance with the
established accounting standards and billing policy.
TYPICAL
DUTIES:
1.
Administration
provide administrative support,
maintain office equipment, buildings,

keep records of the office supplies,
materials and equipment,Ø
maintain office premises to provide good
working environment,Ø
ensure that sufficient water and
electricity supply is available in the office and telephone/ internet lines are
functional,Ø
ensure safety of office supplies,
materials, equipment and physical facilities,Ø
manage vehicle/motor vehicle movement
and arrange for vehicle servicing, maintenance and regular checkup,Ø
ensure that the leave records of
employees have been maintained and circulated,Ø
arrange venue for the seminars and
meetings; and provide logistics support,Ø
assist the process of performance
evaluations of project staff on timely manner,Ø
correspond on the various administrative
matter,Ø
keep liaison with the bank and other
government institutions,Ø
maintain and update the Project Office
filing system,Ø
ensure office security system is
effectively functioning,Ø
supervise the work of Office AssistantØ
2. Finance
collect invoices/bills and make payment
ensuring the prevailing financial rules and regulations of Partner NGOØ
keep financial documents and records to
meet the organisational and project requirements,Ø
report to the financial performance on
periodic basis to donor,Ø
make advance payment of travel
allowance, per diem and travel advance,Ø
handle petty cash,Ø
reconcile bank accounts and report to
Project Management Unit,Ø
3. Other
providing accounting services to the
concerned, especially the statusØ of budget and expenditure on quarterly basis or
as and when required,
keeping project staff aware and informed
of changes to accounting system/structure/ procedures through
training/presentation,Ø
managing for purchase of the supplies,
materials, equipment and physical facilities,Ø
visiting project sites as necessary to
facilitate and oversee the field activities,Ø
assist the process of financial and
project annual audits and;Ø
Other responsibilities as directed by
Project DirectorØ
SKILL, KNOWLEDGE,
EDUCATION AND EXPERIENCE:
• Bachelor’s Degree or some college courses in accounting or business
preferred.
• Intermediate to advanced computer literacy, including experience in word
processing, spread sheets and accounting software.
• Ability to work well with others under deadline situations and respond to
changes in priorities.
• Good written and verbal communication skills and strong organizational
skills.
• Ability to work independently, take initiative, set priorities and see
projects through to completion.
• Employ problem-solving skills and analysis, and report problems to the
Accounting Services Manager, as necessary.
• Strong service orientation.
• Knowledge of the project structure in a client/consultant business
environment.
