Orience Integration supplies and installs commercial doors, frames, door hardware, as well as automated door openers, access control and closed circuit television systems at some of the largest building sites in Alberta. Administrative Assistant

Responsibilities
– Assist in the coordination of various internal and external meetings
– Plan, coordinate and participate in business development initiatives
– Work with clients, account managers and technicians on scheduling site visits, installations and service calls
– Coordinate travel and training logistics
– Generate work orders, service tickets, purchase orders and invoices
– Vendor management, order follow-up, order verification and receiving
– Prepare monthly expense reports for certain team members
– Filing, data entry and photocopying
– Manage office inventory and small warehouse inventory
– Assist with tracking installation productivity, job costs and timesheets
– Generating various reports daily, weekly and monthly
– Plan, coordinate and participate in Lunch-And-Learns
– Front-line customer phone support
– Assist with Accounts Payable and Accounts Receivable
– Assist in managing company safety program
– Maintain office equipment

Qualifications & Professional Experience
– Experience in an administrative role and/or bookkeeping is considered an asset
– Experience in calendar management, coordinating meetings, travel and logistics
– Basic knowledge of inventory management and document flow
– Fundamental understanding of the service industry and need for responsiveness is required
– Intermediate computer skills in Microsoft Office
– Superior written English grammar, editing and proofreading skills
– Significant experience managing concurrent responsibilities and establishing and acting against relative priorities
