The Centre for Mindfulness Studies (CMS) is a dynamic, fast-growing

the application of mindfulness-based approaches in health care,
education and social services. We are also a caring organization. Our
service and care for our clients, our community and our staff is at
the heart of everything we do.

We’re looking for someone with a passion for service and an interest
in mindfulness as a means of personal growth, well-being and mental
health.

CMS currently has 7 staff and 35 faculty. As a registered charity, we
offer clinical treatment to individuals suffering from mood disorders
e.g. anxiety/depression and chronic health conditions, e.g., pain,
cancer, etc. The Centre also provides professional development
programs for healthcare, education, workplaces and social service
providers. The Centre extends these services for free or at a nominal
cost to marginalized populations and the front line workers who
support them.

We are looking for someone with excellent administrative skills as
well as a passion for service and an interest in mindfulness as a
means of personal growth, well-being and mental health.

Reporting to the Manager of Operations (Fee-based Programs), the
Operations Coordinator is a front-line point of contact and support
for our clients and our faculty. This role includes a variety of
administrative responsibilities, ranging from handling client
registrations and queries, to supporting faculty with their
requirements for course delivery, to ensuring that all required
supports and documentation are in place for effective course delivery
and evaluation.

KEY RESPONSIBILITIES INCLUDE

Administrative Support:
• Ensures all program requirements for equipment, supplies, and
hand-outs are in place
• Manages the use and upkeep of the training premises
• Manages bookings and the booking calendar for the training rooms

Client Support:
• Provides a positive first impression of the Centre for Mindfulness Studies
• Responds to client e-mail and voice mail queries and concerns
• Informs and reminds clients about program schedules, requirements or changes
• Tracks manual payments, registrations, cancellations, credits and refunds
• Works with Financial Officer to reconcile program payments

Program Delivery Support:
• Supports facilitators’ program requirements for room set-up,
hand-outs, supplies, equipment, and refreshments
• Organizes and files information and evaluation documents for every course
• Coordinates the issuing of certificates and continuing education
credits from accrediting bodies, e.g., OCFP, for eligible participants

• Ability to use discretion, judgment and tact in handling sensitive
or confidential information or situations
• Ease with computer systems
• High attention to detail and excellent problem-solving skills
• Proven ability to work independently as well as collaboratively
• Flexibility of schedule in order to accommodate the needs of
fluctuating program load. Programs are offered weekdays, evenings and
weekends, and the Program Support Assistant will be responsible for
providing administrative support for courses offered outside of office
hours.
