BACKGROUND:
Aegis
Trust is an NGO whose aim is to prevent crimes against humanity and manages
Kigali Genocide Memorial. Besides managing the memorial, Aegis Trust has
several programmes including Education program, the Genocide Archive of
Rwanda, Social Enterprises and Social program. Aegis Trust is seeking to hire
qualified, dedicated and experienced nationals to fill the Vacant position.

Reports

General
Description:
Working
in the finance department of the Aegis Trust Rwanda. Finance officer will
work with the finance team in a day today transactions with in the finance
office to enable the smooth running of the department.
Key
Responsibilities

  • Prepare
    all payment vouchers for the approved requisitions   as per
    procurement policy & procedures in order to make the payments for
    different suppliers and arrange them together for processing into Sage
    software system.
  • Process
    all authorized payment documents into Sage software system daily.
  • Ensure
    that all payment vouchers are checked, approved, authorized and signed
    by the required people.
  • Ensure
    that all payment vouchers are supported and filled numerically on daily
    basis.
  • Keep
    Petty Cash box under lock and key and lock away at night in
    the   safe.
  • Petty
    Cash to be counted and reconciled on daily basis as well as monthly.
  • Ensure
    all petty cash vouchers approved and signed by the concerned people and
    filed numerically.
  • Petty
    cash Analysis completed daily and prepared for processing into Sage
    software system.
  • Process
    all petty cash transactions processed daily into accounting system.
  • Counting
    cash received from different income are banked on a daily basis.
  • Analysis
    to be completed for banking and attached to bank deposit slips.
  • All
    supporting documents to be filled correctly for processing into sage and
    bank reconciliation purposes.
  • Ensure
    that all bank transactions are accurately and timely processed into Sage
    software system.
  • Receive
    bank statements monthly for the purpose of the bank reconciliations.
  • Prepare
    bank reconciliation monthly.
  • Deliver
    the bank statements to the Head of Finance for final checking and
    approval of the bank reconciliation for filling.
  • Ensure
    that all  postings to the general ledger is timely and accurate
  • Ensure
    statutory deductions are timely prepared and paid.
  • Assist
    in implementation and maintenance of computerized accounting system
  • Monitoring 
    and maintaining and updating  of asset register
  • Support
    in preparation of year end reports and in internal and external audit.
  • Support
    other staff in terms of maintaining financial policy and procedures of
    the organization.
  • Bring
    to the Head of Finance ’s attention any changes in financial law or
    regulations which may  affect the organization
  • Perform
    any other task as assigned by the supervisor.

The following knowledge, skills and abilities are required through a
combination of formal schooling, self-education, and prior experience or on the
job training.
  • Bachelor`s
    degree in Accounting, Finance or other Professional equivalent
    qualifications.
  • 5
    Years working experience in accounting and book keeping.
  • Excellent
    knowledge of keeping payments order books as well as cheque books
  • Excellent
    knowledge in verifying and preparing cheques and payments vouchers
  • Excellent
    knowledge in preparing financial reports.
  • Excellent
    knowledge in keeping all accounting documents in a safe and orderly
    manner.
  • Good
    knowledge in proper and up to date recording of all financial
    transactions.
  • Performing
    all accounting functions in accordance with generally accepted accounting
    principles,   procedures and policies.
  • Should
    have excellent Interpersonal skills, communication skills; problem solving
    skills, teamwork skills, Analytical skills and multi-tasking skills.
  • Must
    be proficient with English and Kinyarwanda languages in both spoken and
    written. French would be an added asset.
  • Should
    be computer literate in excel, sage and other accounting software packages
    and other software packages
