Executive
Assistant to the National Director
World
Vision International (Rwanda) is a child focused Christian humanitarian
organization implementing development programs in 17 Districts of Rwanda.
World
Vision Rwanda seeks to hire a highly qualified, dedicated and experienced
national for the position of Executive Assistant to the National Director. The
position will be based in Kigali at the Head Office and reporting to the
National Director.
Purpose
of the position:
This
position will provide strategic input of linking the gove

rnance, strategic,
leadership and operational roles of the National Director (ND) of World Vision
Rwanda (WVR) in a way that enhances overall organizational effectiveness. In
this respect, the position shall be empowered to assist the ND in spearheading
WVR’s initiatives to streamline operations and improve internal control in the
following key areas.

1.
Effective Management of WV Rwanda
2.
Effective Leadership of WV Rwanda
3.
Strengthened Governance and Organizational Development
4.
Coordination of Special Events as Assigned by the ND
In
order to succeed, the Executive Assistant to the National Director must be able
to effectively communicate World Vision’s Christian ethos and demonstrate a
quality of spiritual life that serves as an example to others – must be a role
model, practice servant leadership and be an ambassador for WV ministry in
areas where WVR has operations
The
major responsibilities include:
Outcome
1:
The
ND is supported to achieve Effective Management of WV Rwanda
Outputs:
  1. Providing
    administrative management of the National Directors Office.
    1. Manages
      National Director’s calendar
    2. Monitors
      correspondence and covers responsibilities for the ND when he/she travels
      outside the office, such as responding to incoming correspondence
      (internally and externally), tracking responses and keeping the ND
      informed as necessary;
    3. Travel
      arrangements and processing travel itineraries for the ND and Advisor
      Council members;
    4. Monitors
      the ND’s budget expenditures,
    5. Administering
      respective annual and other leaves of National Directors’direct reports
    6. Preparing
      monthly status reports on all work plan activities (all ND’s direct
      report)
    7. Prepare
      monthly management report to the EARO in consultative process with the
      key stakeholders
    8. Coordinating
      groups for specific work objectives as assigned by the ND
Outcome
2:
The
ND is supported to achieve Effective Leadership of WV Rwanda
Outputs
Monitor
implementation of the following and, through a consultative process with the
key stakeholders, recommend options to the ND for actions needed to address any
identified gaps.
  1. Record
    Senior Leadership Team meetings
  2. Track
    decisions made by the Senior Leadership Team (SLT) and monitor the
    implementation
  3. Monitoring
    implementation of WVR’s leadership development plan.
  4. Manage
    travel calendar of SLT and consult SLT on the coverage of all program
    areas
  5. Manage
    SLT Dashboard (Recruitment, Event, Guest……)
Outcome
3
The
ND is supported to coordinate legal and policy matters for WV Rwanda
Output
Monitor
implementation of the following and recommend to the ND actions needed to
address any identified gaps.
  1. Ensuring
    that new WV Partnership policies are owned, implemented and monitored by
    appropriate groups.
  2. Developing
    recommendations (or options) for the ND (through a process with the key
    stakeholders) in regards to policy changes.
  3. Support
    in Liason with P&C, and Finance Legal matters addressed to the ND and
    recommend to ND actions needed to address any identified gaps.
Outcome
4
The
ND is supported to achieve effective Governance and Organizational Development
of WVR
Output
Monitor
implementation of the following and recommend to the ND actions needed to
address any identified gaps.
  1. Provide
    support to the National Director in the preparation of national office
    operating plans and divisional strategic plans
  2. Coordinate
    capacity building initiatives on governance for senior leadership
  3. Recording
    WVR SLT meetings and Vision Fund Board development sessions and ensure
    follow-up on outstanding issues.
  4. Prepare
    Vision Fund Board minutes and meetings and events
  5. Facilitate
    NO peer review sessions
  6. Monitoring
    the implementation of Peer Review recommendations and identify any gaps.
Relationships:
National
Director: (Supervision
), joint planning, coordination, strong
support for the Vision Fund and SLT.
All
SLT Members:
Support
and engagement for reporting, tracking and communicating externally.
Key
National and International Stakeholders (includes regional staff, Vision fund
Board members, partners, donors, etc.):
Coordination, networking, continuous
communication and influence / advocacy building.
Qualifications:
Education/Knowledge/Technical Skills and Experience
The
following may be acquired through a combination of formal or self-education,
prior experience or on-the-job training:
  • Minimum
    of a Bachelor’s degree in business management and/or social sciences.
  • At
    least five years’ experience working with senior management in executive
    support roles.
  • Reasonable
    knowledge of key WVI Strategic initiatives and best practices, including
    AC policies
  • Excellent
    Project, Information and Knowledge Management skills
  • Exceptional
    coordination and networking skills.
  • Strong
    ability to work without supervision, innovate, team-build and motivate
  • Complete
    compatibility with WV’s mission, ethos, policies and core values
