g a Bilingual
Administrative Assistant to join its Montreal office.

Reporting to the Vice President of
Industry and Public Affairs, the Administrative Assistant provides clerical
support to the Montreal office staff and performs a variety of office
coordination duties. The successful candidate will also be responsible for
greeting visitors as well as answering calls and distributing mail. They will
provide professional and efficient support in performing various tasks while
following workplace confidentiality guidelines and exercising discretion.
Principal duties and
responsibilities:
  • Provide
    an excellent level of service to both internal and external clients.
  • Provide
    administrative support to Montreal and Toronto office staff as required.
  • Manage
    agendas for the Vice President and all Montreal Directors.
  • Make
    travel arrangements for the Montreal office staff.
  • Manage
    the logistics involved in planning business meetings and events organized
    by the CMF.
  • Negotiate
    terms with suppliers (hotels, caterers and conference rooms) to stay
    within budget guidelines.
  • Manage
    contact lists and the office’s shared calendar.
  • Prepare
    expense reports for the Montreal office management team.
  • Maintain
    office supply inventory.
  • Provide
    support where needed and perform any other duties as required.
The ideal candidate will possess the
following skills, experience, and qualifications:
  • 3
    years’ experience in a similar position.
  • Ability
    to manage and prioritize multiple projects with tight deadlines in a
    fast-paced environment.
  • Ability
    to exercise good judgement and discretion.
  • Strong
    time-management and organizational skills with attention to detail.
  • Excellent
    writing skills (flawless spelling and grammar).
  • Excellent
    interpersonal skills with the ability to promote strong working
    relationships with colleagues, clients and vendors.
  • High
    degree of critical thinking skills and initiative to anticipate and
    respond to the needs of senior managers.
  • Ability
    to work both independently and collaboratively.
  • Previous
    experience in television, film or digital media production an asset.
  • Knowledge
    of general office practices and procedures.
  • Advanced
    knowledge of Microsoft Office Suite (Word, Excel and PowerPoint).
  • Bilingualism
    (English and French, both written and spoken) is required.
