American Refugee Committee (ARC) is looking for a Secretary to
provide administrative and secretarial support to the ARC management team and
improve its customer service in the Kigali office. ARC is also recruiting a
Gender Based Violence (GBV) Prevention Officer in Kiziba Refugee Camp, Karongi
District.

DUTIES/RESPONSIBILITIES:
• Serves as a liaison between executives, managers and visitors as
required.
• Drafts correspondence, edits documents, takes and transcribes minutes of
meetings, and performs other administrative duties as requested.
• Takes independent action on handling requests; determines the appropriate
course of action, intervenes when necessary, and acts as a liaison between
departments and teams.
• Coordinates data from a variety of sources for inclusion in technical reports
and presentations; performs independent research and prepares information for
special projects as assigned.
• Responsible for developing and maintaining both electronic and manual filing
systems.
• Retrieves information and correspondence on a daily basis to ensure immediate
access to file data for execution of executive’s duties.
• Communicates with both internal and external customers in person, via
telephone and e-mail. Routes and/or answers routine correspondence not
requiring the management’s attention to ensure timely and accurate response.
Maintain a tracking system for all communications.
• Schedules appointments and coordinates arrangements for meetings, conferences
and trips making sure the management meet their commitments. Assembles
necessary background material for meetings. Maintains personal calendar for the
executive.
• Coordinates the reception desk activities to insure good customer services, a
smart and professional office space and proper use of office equipment.
• Receive all in coming visitors to ARC office and give orientation to them or
give them appropriate information.
• Assist in clerical and administrative work to fill gaps when required.
• Participate with other colleagues in finding ways to make ARC administrative
work more cost effective.
• Any other secretary tasks as maybe required by the management.
Qualifications:
Bachelors degree in journalism, communication, administration or a related
field;
• Minimum of 2 years working experience as Secretary or a related position;
• Advanced proficiency in written English;
• Experienced user of the Microsoft Office with advanced knowledge of Word and
Excel;
• High speed typing skills;
• Advanced computer proficiency;
• Fluency in both verbal French and English;
• Excellent verbal and written communication skills;
• Must maintain a high level of confidentiality and professionalism and
client/service oriented;
• Meets deadlines and provide timely execution of assigned tasks/projects.
• Well organized, multi-tasker and result oriented. Takes initiative in finding
solutions to problems.
