Newcap Vancouver is
seeking a motivated, outgoing and organized individual to join our team in the
capacity of Receptionist / Administrative Assistant for our 3 station cluster
(CISL 650/Z95.3/LG 104.3)
Responsibilities:
• Greet and assist
clients, listeners and guests in a positive and friendly manner.
• Oversee telephone switchboard operation
• Keep up to date with radio station features, programs and community supported
events in order to provide quali
ty customer service
• Maintain the appearance of the front lobby
• Boardroom Bookings
• Maintain station phone/birthday/anniversary list
• Send out Birthday / Anniversary emails
• Maintain Prizing System
• Notify contest winners of prizing, maintain inventory of winners and prizing
• Prepare all courier packages and outgoing mail
• Distribute all incoming mail/courier packages/faxes as required
• Keep storeroom/mailroom organized and stocked; order office supplies,
stationary, copy paper as needed.
• Maintain on site stock of consumable for all printers, copiers etc.
• Ensure appropriate postage available at all times
• Order kitchen supplies i.e. coffee, tea, cream, etc.
• Order Janitorial supplies as needed
• Maintain the kitchen cleaning rotation
• Assist the Executive Assistant as required
• Provide general support to managers and other departments within the office
• Other clerical duties as assigned.
Skill requirements:
• A positive,
friendly manner and customer service approach that will enable the successful
candidate to deal with challenging situations with empathy and sincerity
• 1-2 years’ experience in a similar position
• Ability to work under pressure and in a changing environment
• Strong organizational skills with the ability to prioritize
• Possess a mature and professional manner
• Able to take instruction with ease
• Reliable and willing to learn
• Proven display of initiative
• Technical proficiency in MS Office – Word, PowerPoint, Excel and Outlook
• Strong references
