Responsibilities
The
USAID-funded Integrated Health System Strengthening Project (IHSSP),
implemented by Management Sciences for Health (MSH), is a comprehensive Project
of assistance, providing technical support to Rwandan’s health sector. IHSSP
has primary responsibility for ensuring the provision of technical support to
build and strengthen systems for information systems, financial systems
including Performance-Based Financing (PBF), human capacity development and
quality assurance. IHSSP works with the government, civil society, and
communities to strengthen health systems, develop preventive interventions, and
improve the quality of health services. The Administrative Assistant is
responsible for providing administrative, logistical, and clerical services to
both technical and administrative teams in order to ensure effective and
efficient operations.

Assistance
- Provide general administrative support
- Perform general clerical duties to include but
not limited to: photocopying, faxing, scanning, mailing, and filing. - Support the HR and Finance Offices in
collecting, photocopying and filing documents (timesheets, reports,
invoices, vouchers, etc…). - Maintain hard copy and electronic filing
system. - Assist the Logistics Specialist in setting up
and coordinating meetings and conferences venue. - Provide support to the Human Resource Office
during the recruitment processes.
Receptionist
Duties
Duties
- Provide general receptionist services
- Meet and great clients and visitors in order
to orient them - Answer and forward telephone calls and respond
to inquiries - Receive, register and dispatch/send courier
- Record incoming messages professionally
- Perform any other duty as assigned by the
supervisor
Qualifications
- Minimum of an Advanced Diploma in Social
Sciences, Literature, Public Management or other related field. - Minimum of 2 years of relevant work
experience, preferably in administration with international organizations. - Knowledge of office administration and book
keeping procedures - Ability to maintain a high level of
confidentiality concerning financial and employee files. - Basic knowledge and understanding of finance
and administration work. - Demonstrated ability to assess priorities and
handle requests. - Computer skills essential; knowledge of word
processing, database, and Excel spreadsheet applications (Microsoft Office
applications preferred). - Creativity, flexibility, sound judgment,
ability to take initiative, and carry out work independently. - Attention to detail and high level of accuracy
- Excellent interpersonal, organizational skills
and demonstrated ability to interact professionally with culturally
diverse staff, clients, and consultants. - Effective written, verbal and listening
communication skills. - Fluency in English, French and Kinyarwanda is
required. Knowledge of Swahili and other language is an added advantage.
