IGC Office Manager
I. Role Summary
The International Growth Centre aims to promote sustainable growth in
developing countries by providing demand-led policy advice based on frontier
research. The IGC organizes and directs a global network of researchers and
policy experts in economics, political economy and related disciplines, and
works closely with developing country governments to undertake high quality
research, and provide policy advice on economic growth issues. Based at LSE and
in partnership with the University of Oxford, the IGC is initiated and funded
by the UK Department for International Development (DFID).
The IGC wished to recruit a part-time Office
Manager (OM) who will be responsible for the smooth operation
of the IGC’s country programme in a given partner country, including issues
related to office activities, equipment, communications, maintenance contracts,
organizing logistics for in-country events, and liaising with the IGC Hub.
Locally based, the OM works closely with the rest of the country team, which
typically consists of a Country Director, Country Co-Director, Lead Academic,
and two Country Economists.
The Office Manager reports to the Country Director.
II. Key Tasks and
Responsibilities
1. To undertake secretarial duties, including but not limited to answering the
telephone, taking messages, sending/receiving faxes, photocopying documents,
binding reports, and receiving all visitors to IGC office. To be responsible
for arranging appointments for all members of Country Team.
2. To support correspondence and communication including drafting
correspondence, responding to routine enquiries, logging all mail received, and
undertaking follow-up communication as required. Monitor the IGC Rwanda mailbox
and manage routine correspondence.
3. To be responsible for ensuring implementation of effective IGC branding, in
all forms of communication, interpersonal interaction, and publications with
which the Office Manager assists.
4. To assist in the creation of and maintenance of a database of contacts for
use by the Country Team and IGC hub, including but not limited to those in the
government, business, and civil society sectors.
5. To assist the Country Team with all office needs, ensuring smooth operation
of ongoing office administrative functions including: environment, space,
equipment etc.
6. To act as central point of contact for any administrative-related issues to
determine appropriate action.
7. To assist the Country Team with organizing country and regional events,
including
the location and booking of venues, invitations for attendees, preparing
relevant materials for events, booking travel and accommodation for event
attendees, and other logistical tasks. This includes working with other Country
Team members on publicity for events, press releases, and other related tasks.
8. To liaise regularly with the IGC Hub, including assisting in the preparation
of all reports from the Country programme office to IGC Hub and UK’s Department
for International Development.
9. To manage everyday office expenses, including the regular submission of
invoices, expenses and receipts to the IGC Hub in London.
10.Undertake research support operations such as data preparation, drafting of
briefs and reports.
11. Regularly monitor Rwandan and regional press and media to identify news
items that can be of interest for the Country Team work and prepare a weekly
press review.
III. Skills and Experience:
1. Proven ability to plan and manage complex administrative activities and
processes; demonstrated initiative and sound judgment; and a proven ability to
respond quickly, independently, and appropriately to competing priorities under
tight deadlines. Ability to multi-task is essential.
2. Excellent interpersonal skills and ability to establish effective working
relationships with people of various backgrounds and cultures.
3. Very high level of proficiency in both English and Kinyarwanda. Good
knowledge of French is desirable. Strong oral and written communication skills.
4. Robust command of the Microsoft Office Suite, in particular Word,
Powerpoint, and Excel.
5. Past experience with conference and events planning is highly desirable.
6. Education to university level (undergraduate) is desirable.
7. Previous experience with an international organization and/or with
government would be an advantage.
IV. Terms of Employment:
Part-time contract with the International Growth Centre for the period until
March 31st, 2014, with possibility for renewal. The contract will be for an
average of 2/3 days per week.
The work schedule could be adjusted to accommodate class attendance for
university students.
V. Remuneration:
An attractive salary commensurate with qualifications and experience will be offered
to successful candidate.
