Me to We seeks an organized,
motivated and adventure-seeking Speaker
Support Coordinator
to work directly with a Me to We Speaker.

The position is
based out of Me to We’s International office in Toronto (233 Carlton Street).
There is a three (3) month probationary period, upon reaching the three (3)
month period, all staff members are offered a health plan including dental and
Employee Assistant Program.

Responsibilities:

Event
Support

  • Provide
    high level frontline logistics and communications support to the speaker
    at events, conferences and speaking engagements around the world,
    including Free The Children’s signature event, We Day. (See www.weday.com for more
    information)
  • Support
    the speaker through frequent travel throughout North America and, at
    times, overseas
  • Act as
    an ambassador for the organization at events, conferences, speaking
    engagements and school visits, exemplifying the organization’s core values
    and being able to answer questions/provide information about our
    international and domestic projects and impacts
  • Work
    with Speakers Bureau and other internal and external stakeholders to
    ensure all necessary event details are received and arrangements are made
    (travel, accommodation, etc.)
  • Support
    speaker with a variety of tasks at events, including but not limited to:
    technical assistance, administrative duties, presentations, logistical
    details, and other duties as assigned
  • Assist
    with event planning and media coordination as required
  • Liaise
    with clients to arrange book/merchandise sales and book signing at events
  • Work
    with internal and external clients to arrange all logistics and
    arrangements for each event
  • Network
    to foster and maintain relationships with high profile individuals
  • Manage
    in-coming requests from media, external stakeholders and organizers
  • Drive
    the speaker to and from events and We Days in various cities across North
    America

Writing/Correspondence

  • Occasionally
    ghost write responses to emails and letters from external stakeholders in
    a timely manner
  • Assist
    with follow up from events and meetings, enabling projects to move forward
  • Occasional
    written correspondence with schools, youth, and corporate stakeholders
    alike

Administrative
and Project Support

  • Assist
    with special projects
    • Special
      projects to include: special events, organizational campaigns, honouring
      stakeholders and other initiatives on an ongoing basis
  • Perform
    research on topics as required
  • Assist
    with a variety of administrative tasks both on- and off-site, with some
    personal assistance
  • Participate
    in engagement activities with foundations, corporations and individuals
    throughout the year to strengthen client partner relationship
  • Coordinate
    thank you gifts and honouring pieces for internal and external
    stakeholders
  • Compile
    all receipts and track organizational expenses
  • Ensure
    all scheduling needs are organized.
  • Help
    speaker with any luggage they require assistance with
  • Order
    all materials / Merchandise that the event may require
  • Ensure
    the speakers webpage is completely up to date, with photos and videos

Skills and
Qualifications:

  • Must
    possess a University/College degree
  • Must be
    flexible and comfortable with frequent travel for work purposes, often for
    weeks at a time and on evenings and weekends.Travel amounts to
    approximately 250-300 days per year.
  • Willingness
    and desire to work irregular hours and support on special events both when
    in Toronto and when traveling
  • Excellent
    oral and written communication skills
  • Excellent
    interpersonal skills; comfortable networking with various stakeholder
    groups
  • Advanced
    Microsoft Office skills, especially Outlook, Word, Excel and Power Point
  • Detail
    oriented and ability to work with a high degree of accuracy
  • Excellent
    work ethic and dedication
  • Highly
    organized and flexible, comfortable with last-minute requests
  • Ability
    to multitask and meet changing deadlines
  • Ability
    to problem-solve and provide creative solutions to sudden changes in
    travel/event details
  • Must be
    self-directed and able to complete projects with limited supervision
  • Ability
    to work effectively in a high-volume, fast-paced team environment
  • Ability
    to maintain a high degree of discretion and confidentiality
  • Ability
    to memorize details, names and faces, and to utilize corporate key
    messaging
  • Must be
    able to work well under pressure and under very time-sensitive situations
  • Must be
    able to manage high expectations of events, while remaining
    detail-oriented and on-schedule and keeping calm under pressure
  • Prior
    experience supporting senior management is strongly preferred
  • Valid G
    class driver’s license is a must, along with strong level of comfort
    driving on highways and in new cities, using rented vehicles
  • Valid
    Passport with the ability to travel anywhere in the world
