Free the Children
seeks a Resources
& Logistics Coordinator who will report directly to the
Manager of Event Operations to assist in the planning and execution of front of
house logistics for We Day. This role is responsible for organizing all
shipping to and from We Day, the process of loading in and loading out of each
venue, transportation plans and resource acquisition, distribution and
management.
The position is
based out of Free the Children’s International office in Toronto (233 Carlton
Street). A minimum two-year commitment is expected. There is a three (3) month
probationary period, upon reaching the three (3) month period, all staff
members are offered a health plan including dental and Employee Assistant
Program.
Responsibilities:
Reporting directly to the Event Operations Manager on the We Day team, the
Resources & Logistics Coordinator will work closely with their manager to
manage the following portfolios:
Shipping
& Load-In/Load-Out Logistics
- Organize
and schedule all shipping movements for We Day front of house resources to
and from events, including arranging for cross border customs brokerage
and duties. - Liaise
with transport companies, suppliers and external and internal stakeholders
to create and maintain the delivery and pick up schedule for all events. - Track
items that need to be shipped to and from each event; deliver these items
to the We Day warehouse and oversee the packing of shipments. - Run the
front of house loading bay at all events; ensure inventory is delivered in
a timely manner to multiple stakeholder groups. - Lead
the front of house teardown of the venue; create a strategy for load out,
delegate tasks to staff and crew, and oversee the packing of shipments. - Ensure
team inventory is returned to the proper location and maintain an
inventory of all We Day inventory pre- and post-season. - Support
in the management of inventory at the We Day storage facility.
Transportation
& Safety Planning
- Lead
the planning process for transportation, drop-off, pick-up and daily
parking of all stakeholders in attendance at We Day. - Liaise
with local city officials and committees, police departments, parking
lots, affected businesses and venues to arrange all transportation and
safety logistics. - Arrange
for all special events or street permits where necessary. - Lead a
team of volunteers on-site to safely and effectively execute the
city-specific transportation plan. This includes, but is not limited to
the following: - Creating
and leading a city-specific volunteer training program based on the
specifics of the city’s transportation plan. - Working
with a team of volunteers on the day of We Day to ensure the safe ingress
and egress of attendees. - Reporting
on the number of school and coach buses that have dropped attendees off
at We Day. - Assisting
in locating lost or missing attendees outside the venue.
Resource
Management
- Lead
the ordering process, acquisition and distribution of various resources
for all We Days, including but not limited to office supplies, shipping
supplies, equipment, etc. - Maintain
an inventory of all items being utilized at all We Days as well as those
remaining in the We Day storage facility. - Support
in the management of inventory at the We Day storage facility.
Skills and
Qualifications:
- Ideal
candidates will possess a post-secondary degree or qualification in a
related field, and/or have equivalent work experience in events;
specifically project management, inventory management, event management
and execution. - Extremely
detail oriented with strong attention to effective task completion and a
passion for efficiency. - Ability
to multitask, flexible and adaptable to change. - Excellent
verbal and written communication skills and an ability to speak in public.
- Executes
with a high level of positivity and professionalism in both an office and
event setting. - Ability
to maintain a high degree of discretion and confidentiality. - Able to
work independently and within a team setting with minimal supervision. - Ability
to handle resources including, movement of boxes, pallets and other
resources requiring physical endurance. - Thorough
understanding of and experience working with Microsoft Office,
specifically Word, Excel & Outlook. - A valid
G driver’s license is required, as well as a high level of comfort driving
larger vehicles, if required. - Must be
willing to attend all We Days and be on the road (out of Toronto) for
extended periods of time.
