Role
overview
Managing the monthly
partner disbursement and accountability cycle- 30%
Check, process and record all payments, administer invoices and expenses claims
received, code items to agreed budgets, and action payments.
• Liaise with and review budgets and expenditure as necessary with Programme
Manager and preparing monthly reports and other data as required.
• Maintain proper records of all finance and administrative
• Establish monthly deadlines in line with the programme plans.
• Track, monitor and manage monthly requisition and accountability processes.
Procurement, payment processing and reporting-10%
• To liaise with all office contractors and service providers and ensure the
efficient running of the office including IT systems and other equipment;
• To maintain, monitor and order all office and stationery supplies within
agreed budgets;
• To book staff travel, conferences and training where required
Administering HR and Maintaining Training Records-20%
• Working with the HR Business Partner to prepare HR records
• Maintaining staff and volunteer training records.
• Support supplier pre-qualification, selection, payment.
• Monitor expenditure, reporting variances and taking corrective action.
Operations
management-40%
• Direct and manage the logistical processes of the office including oversight
of:
o Transport and fleet management
o Logistics and office management
o Procurement and asset management
o Volunteer housing ( small support)
o Driving services
• Linking in with security focal person:
o Safety and security
o Contracts and agreements
o IT systems
Any duties assigned by line manager
Due to the nature of
the work, it is possible that some of this role may differ according to how the
office is developing and therefore the post holder will need to be prepared to
be flexible and adapt to their environment as necessary
Skills,
qualifications and experience
Academic
qualification and work experience.
• Qualification in management ,business administration or related education
(minimum bachelor’s degree) from a recognized University
• Good technical knowledge of logistic management, office management including
oversight of Procurement and asset management, house management, Safety and
security and drafting Contracts and agreements with partners.
• Good technical accounting skills. Experience of financial planning, book
keeping practice and principle, knowledge of internal controls, general ledger,
cash management and reconciliations, payroll processing and taxation.
Experience of financial reporting, measurement and analysis.
• Experience of rules and regulations for non-profit organizations. Knowledge
of donor financial reporting and donor procurement procedures.
• Experience of working in multiple foreign currencies and understanding of
foreign exchange hedging.
