Purpose

The
position of Logistics & Marketing Assistant is primarily responsible for
execution of logistical, communication and support to the marketing department.

Responsibilities:
- Analyse
tea stocks at factory, in-transit and at the Mombasa warehouse and
reconcile physical and system reports.
- Monitor
tea transport from factory to Mombasa warehouse and follow up on transit
delays.
- Prepare
weekly tea sale allocations and send out offers to Mombasa tea brokers and
private buyers.
- Prepare
weekly tea buyers sale contracts.
- Prepare
weekly tea samples per the approved sale offers in liaison with the
factory teams.
- Courier
approval samples to the respective buyers and liaise with the courier
service providers.
- Prepare
commercial invoices for approved buyer’s samples.
- Prepare
credit notes for previously approved buyer’s samples that are later
disapproved.
- Prepare
export and shipping documentation for direct sales in liaison with
relevant GoR departments.
- Follow
up outstanding debts as per sales contract terms and track bank receipts
for buyer’s funds.
- Prepare
release orders for buyers and liaise with the tea warehouse to release
teas to buyers after confirming receipt of funds.
- Maintain
the private sales buyers register for contracts, commercial invoices and
bank receipts of the sales.
- Provide
factory teams with feedback and comments on tea tasting from buyers.
- Analyse
weekly Mombasa auction grade-wise tea prices.

- Strong
communication skills (both written and oral) in the English language.
- In-depth
working knowledge of Microsoft Excel, Word and PowerPoint.
- Good
analytical and creative problem solving skills.
- “People
person” who is confident and has a positive personality.
- Strong
organizational and time management skills are critical – must adhere to
deadlines, multitask and be able to prioritize.
- Ability
to work both independently, with minimal supervision, and in a team
environment.
- Ability
to learn quickly and manage workload in a cooperative and demanding
environment.
