PURPOSE OF POSITION:
Under the supervision of the Senior HR
Co-ordinator, this role is responsible for maintaining and updating the HRIS,
managing effort reporting system, leave management, staff welfare etc,
KEY AREAS OF ACCOUNTABILITY:
HRIS and Effort Reporting
  • Ensure
    the HRIS system is appropriately, updated and utilised in a timely and
    accurate manner. This includes setting up new starters, terminating
    leavers, amending personal details, updating contract information,
    inputting performance ratings, training information and absence
  • Be
    the point of contact for all country office HRIS users regarding HRIS
    issues, queries and enhancements
  • Work
    closely with finance to ensure HR information related to effort reporting
    is accurate
  • Liaise
    with HR teams at the field offices to collect and secure filing of key
    personal data in accurate and timely manner, including monthly timesheets
  • Providing
    regular and ad hoc monthly comprehensive staff reports and statistics from
    HRIS and effort reporting systems to the HR director
  • Liaise
    with HR teams at the field offices to collect and secure filing of key
    personal data in accurate and timely manner, including monthly timesheets
  • Build
    strong and collaborative relationships with key HR and Finance teams
  • Focal
    person for Effort Reporting and responsible for collecting staff timesheet
    and ensure all staff have submitted before the deadline
  • Lead
    on data quality on HRIS and effort reporting in collaboration with field
    office HR colleagues and ensuring that high level of data quality is
    maintained on HRIS
  • Maintain
    confidentiality in respect of all staff records whether manual or computer
    maintained and ensure that all records are held securely 
  • Carry
    out regular HRIS systems audits
  • Liaising
    with the Regional/centre teams responsible for the HRIS, Effort reporting
    for technical support and updates
  • Maintaining
    HR tracker specifically ensuring timely renewal of short term staff
    contracts, probation confirmation, end of contracts and other procedures.
Staff Benefits and Welfare
  • In
    close collaboration with the Senior HR Manager manage the staff medical
    and Group life, Personal accident insurance, life insurance schemes,
    ensuring that new and existing staff are updated, staff understand their
    benefits and updates on the medical scheme are widely circulated and
    understood
  • Act
    as the contact person and handle all staff queries related to various
    insurances
  • Organize
    wellness days for staff in conjunction with the insurance schemes
  • Produce
    monthly utilization reports of the insurance schemes to the Senior HR
    Co-ordinator
  • Manage
    leave administration for all staff ensuring these are monitored and
    monthly reports on the same are produced
  • Support
    the Senior HR Co-ordinator in processing of the payroll.
  • Follow
    up consultant invoices and summit weekly tracker to the Senior HR
    Co-ordinator
  • Any
    other responsibilities assigned to you by your line manager

 QUALIFICATIONS AND EXPERIENCE
  • Higher
    Diploma qualification in Business Administration, Human Resources or
    equivalent.
  • Extensive
    experience in working with HRIS, Effort reporting  systems or other
    IT platforms
  • A
    minimum of 3 years of work experience in Human Resources or Administration
    in a corporate or an NGO environment
  • Excellent
    interpersonal skills, collaborative style and approach, and ability to
    work effectively across cultures
  • Good
    working knowledge of Microsoft Excel
  • Experience
    of working under high pressure, fast-paced environments and able to deal
    with ambiguity and change in those contexts
  • Ability
    to plan and organize a substantial workload that includes complex, diverse
    tasks
  • Quality
    orientation and attention to detail

Desirable:
Experience in working with online HR
information systems
