Management Report to Agribusiness Specialist/Country Rep
Technical Report to Finance Manager –HQ

In charge of implementation of budget provisions as detailed in NCBA CLUSA sub
award agreement with CRS, The position is also in charge of day to day office
administration

Maintains up to date accounting records for all financial transactions
and  an orderly filing system for all accounts and finance
correspondences, Makes a proper record of cash received and paid out through
the evidence of receipts and payment vouchers which are duly authorised by the
Country Rep, performs standard cash counts, Prepares cash payment batches
daily, and ensures that vouchers are presented to the approving manager, for
endorsement after ascertaining that the claims are correct, with all properly
authorised supporting documents, Forecasts daily cash requirements and
processes cash withdrawals from the bank if need be, Prepares cash
reconciliations, Write payment vouchers and ensures they are duly
signed/endorsed prior to payment, while maintaining an accurate voucher
register and records, Prepares the input journal vouchers (adjustments),
Manages the office cash float by i) Advising the Country Rep on the need for
cash withdrawals, ii)
Performing a daily close-of-business cash count reconciled to the cashbook,
iii) Ensuring that cash-at-hand corresponds with cashbook balance, iv) Ensuring
that the daily cash balance form is verified and endorsed by the Country Rep,
v) Undertaking safe custody of the cashbox keys at all times, Maintains hard
copy files of all accounting vouchers for cash transactions, Processes the
monthly staff payroll journal and ensures that all authorised and statutory
deductions, such as PAYE, are made and remitted according to NCBA CLUSA
policies, Reviews on  a monthly basis all debit notes/invoices raised but
not yet paid and produces a report of all outstanding amounts, Compiles a
monthly summary/analysis of staff timesheets to show the HQ payroll office to
produce the monthly journal of staff recharges to projects and Where
applicable, assists NCBA CLUSA HQ Finance Office in preparing monthly financial
reports and other financial activities

University Degree in Business administration and Commerce with accounting bias
OR Professional Accounting qualification (ACCA/CPA, etc) Computer literacy and
proficiency in accounting software package(s), Knowledge of Quickbooks
desirable

High integrity, self drive and able to set own work schedule with rigorous
deadlines, Ability to initiate and complete assignments and to work under
demanding circumstances and with minimal supervision, Strong organisation,
supervisory, problem-solving, interpersonal, communication as well as team
building and negotiation skills
