General
Accountabilities
Reporting to the
Manager of Conservation Area Operations, the Operations Administrative
Assistant provides efficient and effective administrative support, file
management, data entry and meeting coordination for all Operations staff. This
position also responds to general inquiries from the public related to camping,
park events / activities and the hunting program.
Specific
Accountabilities
- Perform
administrative services for Head Office Operations staff including filing,
updating procedure manuals, data entry, and assisting with the preparation
of marketing materials. - Respond
to customer inquiries regarding general park information, camping
opportunities and upcoming park activities. - Process
hunting permit applications and respond to inquiries from the public
related to the hunting program. - Assist
the Supervisor of Central Services with capital project related activities
including financial tracking, record keeping, filing, and report
preparation. - Compile
and prepare tracking and summary reports e.g. park statistics, security
reports. - Organize
meetings including preparing and distributing meeting materials and
agendas, preparing and distributing meeting minutes and coordinating
catering, resources and equipment as required.
Perform other
administrative duties as assigned.
Technical
Accountabilities
- College
diploma in office administration (or equivalent) and a minimum of 1 year
related work experience. - Strong
computer skills including Microsoft Word, Excel, Access and PowerPoint.
Knowledge of mail merging and Adobe Acrobat Writer is beneficial.
Experience creating AODA-compliant documents is preferred. - Effective
verbal and written communication skills with a strong customer service
delivery focus. - Demonstrated
experience in file and document management with a high level of attention
of detail and organizational skills. - Ability
to exercise professional judgment and discretion in dealing with
confidential information.
Knowledge and
understanding of GRCA policies for Conservation Areas is preferred.
The pay range for
this position is Job Level C $18.28 to $22.85 per hour/35 hours per week
.
