Position Description
The Program Coordinator,
Education and Learning, will work directly with, and report to, the Director,
Youth Learning. This role inclues significant support to the Education and
Learning team, as well as other Foundation staff. Successful candidates will
demonstrate the Foundation’s core values – achievement, innovation and collaboration.
The Program Coordinator,
Education and Learning will support a range of activities across the Foundation
including, but not limited to, the following:
Provide Administrative
Support to the Director, Education and Learning
- Manage day to day calendar
- Coordinate travel, accommodation and visa arrangements
- Assist with special projects requested by the Director
- Facilitate other administrative processes as needed
Provide Coordination
Support for the Education and Learning Team
- Coordinate logistics of team meetings and events
including scheduling, set up, note-talking and arrangements related to
hosting of external guests - Facilitate internal communication within the Education
and Learning team and across the Foundation, including by creating and
maintaining and overall team calendar - Provide administrative support to the Education and
Learning team as needed including support with travel arrangements (i.e.
visa acquisition) - Assist with budget preparation for the Education and
Learning team - Coordinate bi-annual reporting to the Board of Directors
by the Education and Learning team - Coordinate the process and maintain and update documents
related to the annual work plan for the Education and Learning team - Undertake special projects as needed in the areas of
program research, knowledge and learning - Provide support to meet the information of program staff
within a variety of program areas, to enable more effective
cross-departmental programming - Other duties as required, including administrative
support, to advance program activities
Provide Support to
Special Events
- Coordinate logistics planning for major Program events,
including but not limited to meetings, convenings, and Scholar
participation in events. - Coordinate travel arrangements and catering, develop and
maintain budgets, coordinate with contractors, oversee onsite set up and
implementation of event.
Programming Support to
the Youth Learning Team
- Contribute to the implementation and upkeep of the
Knowledge Management/Evaluation System - Lead departmental document migration onto SharePoint
- Lead in the creation of files, organization, maintenance
and updating of files and records on the Shared Drive - Support Managers with maintenance of GIFTS ALTA data
entry - Coordinate quarterly updating of GIFTS and ensure
completion by the Education and Learning team. - Train new Education and Learning team members of GIFTS
- Represent the Education and Learning team on all
Knowledge Management related initiatives (including the GIFTS working
group)
Qualifications:
- University degree in relevant subject matter or
equivalent work experience. - Demonstrated interest in international development,
youth learning and/or philanthropic initiatives - Previous experience in event management and planning
preferable - Excellent organizational skills and demonstrated ability
to handle multiple tasks - Strong project management skills
- Strong research, analysis and writing skills
- Detail oriented, highly efficient and able to quickly
respond to new or changing work demands - Results driven. Motivated by a high sense of performance
excellence and has the ability to manage competing projects and
initiatives simultaneously. - Excellent interpersonal skills with a sense of humor,
exhibiting grace under pressure - Proactive and engaged with an ability to thrive in an
environment of change - Flexible, adaptable, and able to effectively execute a
range of job duties - Ability to work both independently and as part of a team
- Posses professional maturity and good judgment, and
demonstrates sensitivity in working within different cultures - Strong communication skills in English; written and
spoken. - Advanced proficiency with Microsoft Office including
PowerPoint, Word and Excel
