DESCRIPTION

Role
and Responsibilities

The Administrative Manager assists the Executive Director in the day to day
operations of AGHCA. The manager will be responsible for ensuring efficient
administrative processes and procedures are in place and will manage the
organization’s finances. This position reports directly to the Executive
Director. Specific responsibilities include:
• Recruit and contract organization staff and volunteers, ensuring equal
employment opportunity in hiring and promotion
• Identify staff and volunteer development and training needs and ensure the
training is obtained
• Develop policies and documentation for efficient running of AGHCA operations
• Ensure proper labour relations and conditions of employment are maintained
• Supervise the revision of rules, regulations and procedures to meet changes
in law and policy
• Maintain records, prepare reports, and compose correspondence relative to the
work
• Maintain donor and vendor file integrity (documents, analytical information
where required, communication notations, etc.)
• Maintain AGHCA staff and volunteer files with strict confidentiality
• Execute plans, policies, and programs in business and financial affairs,
property and equipment, supplies, housekeeping, building and grounds
maintenance, and safety programs
• Manage grants through tracking funding and assisting AGHCA staff in the
timely submission of reports
• Handle client finances, including communicating with financial institutions,
handling bank accounts, preparing payments and maintaining record of finances
• Ensure proper documentation of expenditures and payments
• Monitor expenditures according to budget lines as set by grant contracts
• Prepare regular financial reports for the ED
• Prepare AGHCA finances for external audit
• Perform related work as assigned

Qualifications
and Education Requirements

The
ideal candidate will be an accountant, hold a Bachelor’s degree from an accredited
university in a related field (i.e. accounting or business management) and have
at least 2 years of proven experience and effectiveness in nonprofit, financial
and/or staff management. Commitment to AGHCA’s core beliefs a must. Experience
in arts, advocacy and/or community engagement a plus.

Preferred

Outstanding verbal and written English communication skills; strong
interpersonal and partnership-building skills; planning, analytical and
evaluation abilities; working knowledge of computers and Microsoft Office;
ability to handle multiple tasks simultaneously; flexible; comfortable working
with people from all backgrounds; team player; keen desire for excellence and
accuracy; self-starter and self-reliant, but able to consult effectively with
others; excellent time management skills.

Additional
Notes

Expected start date: March 2015. Salary depending on qualifications and
experience.
