Free The Children seeks a driven and motivated Associate Director – Event Operations
who will report directly to the Director, We Day Global. The Associate Director
of Event Operations is part of dual partnership that drives the strategic
planning & execution of all fronts of house operations at We Day events.
This role is responsible for overseeing a team that is managing; resource
acquisition, sponsorship activations, shipping logistics and warehousing, venue
management & security, and food & beverage catering for all We Day
stakeholders. This team liaises with multiple departments within the
organization to ensure all priorities and objectives are met, and is a major
hub for quality control ensuring smooth execution at each event.

The position is based out of Free
The Children’s International office in Toronto (233 Carlton Street). A minimum
3 year commitment is expected. Salary is to be negotiated. There is a three (3)
month probationary period, upon reaching this all staff members are offered a
health plan including dental and Employee Assistant Program.

Responsibilities:

Strategy &
Implementation:

  • Resources & Logistics
    • Ensures quality control over all
      resource planning & acquisition; including signage, printed
      materials, accreditation & general supplies
    • Ensure quality control for all
      sponsorship activation pieces front of house including; sponsor booths
      and gift bag inserts
    • Ensures quality control over all
      shipments and warehousing logistics for each We Day event; including
      customs & brokerage where applicable
    • Directly liaises with the directors
      team for all Me to We merchandise and Free the Children information booth
      seasonal strategy shifts
    • Proactively identifies gaps related
      to internal communications and processes, while providing solutions to
      improve the execution of all deliverables
  • Venue Management
    • Manages the contracting process for
      all We Day venues across North America & the UK
    • Ensures quality control on all venue
      planning including; relationship management, room allocations, security,
      room conversion & décor
    • Advises on all school bus &
      parking logistics for a smooth ingress & egress plan for all We Days,
      liaising with city officials, police departments and venue contacts where
      necessary
    • Serves as an escalation point to all
      front of house team members for troubleshooting risk management issues
  • Catering
    • Ensures quality control on the food
      & beverage strategy for all We Day stakeholders including; menu
      planning, sponsorship opportunities and in-venue feeding execution plans
    • Serves as an escalation point to
      troubleshoot all catering issues in planning & execution
    • Advises on the food model
      integration in new We Day markets/ new We Day venues
  • Budget Creation & Management
    • Oversees each subunits seasonal
      projections and tracks all spending
    • Ensures quality control on seasonal
      budget reconciliation

Team Management and
Development:

  • Oversees a manager in each subunit; Resources &
    Logistics, Venue & Logistics, Catering and a team of coordinators
  • Drives the Event Operation team’s metrics through a We
    Day critical path
  • Leading larger multi-departmental cross over meetings
    ensuring critical path is on track
  • Lead check-ins with each subunit at the beginning of the
    week to review performance, set goals and create action items
  • Act as an escalation point for internal questions while
    still encouraging and empowering managers to craft their own solutions

Skills and
Qualifications:

  • MA or Bachelor’s degree plus professional experience in
    event management, operations, or related degree in project management
  • Work experience in logistics, project management, or
    events is strongly preferred
  • Enjoys working in a demanding, fast paced work
    environment and flexible with work hours
  • Detail oriented
  • Highly self–motivated and independent, a strategic
    thinker
  • Able to perform well and problem solve in high stress,
    dynamic and changing situations
  • Strong inter-personal and communication skills
  • Positive and professional attitude and able to work as a
    team player, liaise with multiple departments all with different
    objectives and goals serving We Day events
  • Excellent time management, organization and
    multi-tasking skills
  • Excellent written and oral communication skills
  • Flexible, adaptable, thrives in stressful situations and
    strong team player
  • Ability to maintain a high degree of discretion and
    confidentiality
  • Able to work both independently and within a team
    setting with minimal supervision
  • Executes high level of positivity and professionalism in
    the office and at We Day events
  • Sound understanding of and experience working with
    Microsoft Office, specifically Word, Excel, PowerPoint and Outlook
  • Ability and willingness to travel to all We Day events
    across North American and the UK
