CAWST, the Centre
for Affor

dable Water and Sanitation Technology, is a Canadian non-profit organization
focused on the principle that clean water changes lives. Safe water and basic
sanitation are fundamentals necessary to empower the world’s poorest people and
break the cycle of poverty. CAWST believes that the place to start is to teach
people the skills they need to have safe water in their homes. CAWST transfers
knowledge and skills to organizations and individuals in developing countries
through education, training and consulting services. This ever-expanding
network can motivate individual households to take action to meet their own
water and sanitation needs.

Since 2001, CAWST
has developed a network of almost 800 clients in 68 countries, who have
impacted 9.3 million people with access to better water or sanitation. We are
now expanding our reach and impact, with a target of 20 million people by 2020
with safe water or sanitation.

The CAWST team is
made up of over 35 people, with about 12 people who travel consistently
throughout the year. The Business Services (BS) team is responsible for governance,
HR, finances, office management, and IT. The BS team supports the organization
in its endeavour to support those in developing countries.

The Position Office Administrator (Full
time, permanent)

Reports to Director, Business Services

Position Summary

At CAWST, we are

our team. Our team has grown over the last year and our office has expanded
with it. We are seeking a service-oriented, conscientious and detail-oriented individual
who enjoys making a difference, being part of a team, and takes pride in their
careers. This role is a critical position, helping to ensure the smooth,
effective and efficient operation of CAWST and requires someone with maturity,
good judgement, and a service-oriented, ‘can do’ attitude for our fast-paced
office.

Responsibilities

While each staff
member is responsible for his/her general administrative activities, they need
support with certain items
.
This position is responsible for the following responsibilities and for
identifying opportunities to improve processes and develop systems to better
optimize limited resources. This position will take ownership for the delivery
of day-to-day administrative activities as needed.

  • Manage
    a healthy and enjoyable environment by leading staff to maintain a clean,
    well-functioning and presentable office.
  • Provide
    administrative support, which includes responding to email enquiries,
    phone, courier, and outgoing mail.
  • Manage
    basic bookkeeping (cutting cheques, bank deposits, etc.).
  • Oversee
    office supply inventory, including monitoring supply levels and placing
    new orders with suppliers.
  • Manage
    and update CAWST’s database of suppliers and members.
  • Lead
    the Fund Development donation processes:
    • Database
      management
    • Inputting
      and processing donations
    • Issuing
      tax receipts
    • Donor
      renewals (list managements, mass mail-outs, create newsletters)
  • Increase
    the CEO’s efficiency by managing schedules, expenses, travel arrangements,
    accommodation, and contact management as well as other tasks as needed by
    the CEO.
  • Support
    Human Resource processes:
    • Orientation
    • Search
      job boards and manage database of human resource contacts
  • Provide
    logistical support and manage RSVPs and stakeholder lists for CAWST
    events, including the Annual General Meeting (AGM), Youth Summit, World
    Water Day, Open House and internal CAWST events.
  • Coordinate
    orders for marketing materials, including brochures, annual reports,
    display boards, posters and other materials as required to promote CAWST’s
    services and increase the organization’s public profile
  • Support
    staff travel arrangements (travel files)
  • Scribe
    and manage office meeting notes
  • Other
    tasks to support the effectiveness of the organization, which vary
    throughout the year.

The Person

Education

  • Minimum
    high school diploma.

Experience

  • Proficient
    in MS Office suite (Excel, PowerPoint, Outlook, Word) and Windows
    operating system.
