The Executive Office
Team is seeking a dynamic, hardworking, driven individual with strong financial
analysis, customer service and task management skills to join the department as
a Contracts and
Administrative Coordinator.
This individual will assist Me to
We Speaker event bookings through contract, invoice and expense reconciliation
support and the larger executive team through administrative tasks.

There is a three (3)
month probationary period, upon reaching the three (3) month period, all staff
members are offered a health plan including dental and Employee Assistant
Program. The position is based out of Me to We and Free The Children’s office
in Toronto (233 Carlton Street).

Responsibilities:

  • Draft
    and customize agreements for Me to We motivational speakers’ bookings
  • Ensure
    agreements are signed and executed
  • Maintain
    positive relationships with stakeholders and clients
  • Regularly
    update customer relationship management tools – Salesforce
    and DocuSign
  • Provide
    training and technical support of CRM programs to department staff
  • Assist
    with office operations as needed including department mail outs and office
    supply management
  • Maintain
    and organizational vehicle calendar and booking schedule
  • Organize
    speaker bookings information in a neat and easy to access manner
  • Work
    in conjunction with the Me to We Speaking Engagement Coordinator to ensure
    all events are executed properly
  • Prepare
    and tailor department financial reports for the Accounting team and for Me
    to We Directors
  • Collect
    expense receipts from speakers and speaker support staff and prepare
    expense and corporate credit cards reports for executives accordingly
  • Draft
    invoices for clients following each speaking event pertaining to expenses
  • Perform
    bookkeeping duties for all motivational paid and free speakers’
    engagements
  • Perform
    account receivable tasks as required
  • Proactively
    and reactively problem solve financial irregularities to ensure client’s
    experience is maintained

Skills and
Qualifications

  • Strong
    organizational and financial record keeping skills
  • Keen
    interest in systems management, financial reporting and problem solving
  • Excellent
    attention to detail
  • Proven
    ability to take initiative and manage high-stress situations
  • Positive
    attitude and ability to work as a team player and work well independently
  • Ability
    to multi-task in a demanding and fast-paced work environment.
  • Personal
    values that match Me to We and Free The Children core values
  • Possess
    a degree preferably in Financial Administration, Business, or another
    related field.
  • Experience
    working with client management and financial management software (e.g.,
    SalesForce, Client Majic, Beanstream, Paypal) is an asset.
  • Must
    possess a valid driver’s license.
  • Must
    be eligible to work in Canada.
