Me to We is seeking
an Associate Director – Travel Operations, Corporate and Family,
to empower
and innervate the team to even greater success through the committed management
of new and existing systems, programs and processes. This position provides the
Corporate and Family engagement and coordination teams with the tools needed to
operate efficiently and effectively.
As an inspired and detail-driven team member, the
Associate Director – Travel Operations will maintain, develop and consistently
improve the systems, (technical and otherwise), and the standard operating
procedures used by both engagement and coordination enabling the team to
optimally focus on their key objectives- sales and service.
The successful candidate will possess expertise and
experience in operations, and ideally in travel operations.
The position is based out of Me to We Offices in
Toronto (225 Carlton Street). A minimum two-year commitment is expected. Salary
is to be negotiated. There is a three (3) month probationary period, upon
reaching the three (3) month period, all staff members are offered a health
plan including dental and Employee Assistant Program.

Key Responsibilities:
  • Implement and support the team in the adopting
    new technologies, including electronic registration and payment systems,
    and automated client communication through Me to We’s client management
    tool, Salesforce.
  • Streamline current systems, technologies and
    Standard Operating Procedures for the Engagement and Coordination Teams,
    ensuring that new systems used across the organization are adopted within
    the Corporate and Family Engagement Team.
  • Ensure consistent use, by the team, of Me to We’s
    client management tool, Salesforce, consistently refining the team’s use
    of the system to improve transparency and accuracy of the client
    experience, in addition to overall team efficiencies and reporting.
  • Take a leadership role in improving the
    systems/reports associated with data management and data analysis with a
    special focus on those systems/reports that measure the team’s key
    business drivers.
  • Actively participate and provide support in all
    efforts related to strategic visioning and planning. Support the CEO of Me
    to We and Director of Corporate and Family with special projects related
    to optimizing performance and financial reconciliation and planning.
  • Evaluation, analysis and improvement over
    Coordination and Engagement Team’s systems and technologies, including
    consistent updates to meet the needs of the team (i.e. updating Salesforce
    products, pricing, usability to meet team’s needs).
  • Ensure smooth operations internally, amongst
    engagement team, coordination team and in-country teams in Kenya, India
    and Ecuador with respect to adult trips programming.
  • Maintain a consistently high standard of customer
    engagement and relationship building with maturity and professionalism,
    focussing on high-touch relationships and meaningful conversation.
  • Join the team at events and speaking engagements
    for the purpose of networking and promoting Me to We Trips (possible
    evening and weekends), generating interest and prospects.
  • Responsible for maintaining a positive,
    productive and driven team culture.
  • Develop and implement department specific onboarding
    program used to train and develop new staff members.
  • In collaboration with Director of Corporate and
    Family, as appropriate, responsible for leading individual check-ins.
    First, from anHR perspective regarding job satisfaction, goal setting and
    job performance, and provide one-on-one coaching and mentoring to staff as
    applicable. Second, from an operations and sales perspective, ensuring
    team members are aligned with department visions, are meeting
    deliverables, and to provide one-on-one coaching to meet and exceed
    expectations.
  • Develop frequent and ongoing training
    opportunities for the department to ensure skills and competencies are
    aligned with organizational and department strategies and visions.
  • Support in the hiring and evaluation of team members,
    as appropriate.
  • Support the Director of Engagement in all
    organizational priorities and requests from teams across Free The Children
    and Me to We.
  • Liaise with all other Me to We and Free The
    Children departments to ensure strategic working relationships are
    maintained and teams are properly supported by the Corporate and Family
    Engagement team as required.
  • Preparation of reports, analytics and
    presentations for Directors and team meetings as required.
  • Any other director duties and special project management
    as required on a flexible and ongoing basis.
  • Support the Director of Engagement in all
    organizational priorities.
  • Fulfill requests from teams across Free The
    Children and Me to We, including for example:
    • Stakeholder communication and email blasts
      regarding departmental priorities
    • Holiday mailing and outreach campaigns
    • Collateral requests
    • We Day staffing plans and marketing plans
    • We Day follow up plans
    • Requests for Corporate and Family Engagement
      Content for PR purposes
    • Support in other team’s relevant priorities
  • Liaise with all other Me to We and Free The
    Children departments to ensure strategic working relationships are
    maintained and teams are properly supported by the Corporate and Family
    Engagement team as required.
  • Preparation of reports, analytics and
    presentations for Directors and team meetings as required.
  • Any other director duties and special project
    management as required on a flexible and ongoing basis.
  • Contribute to the goal of customer satisfaction
    and loyalty with our existing clients through the development and
    maintenance of the systems and programs related retention and referrals.
  • Liaise closely with other Free The Children and
    Me to We departments and directors to ensure stakeholders are given the
    opportunity to engage in Me to We Trips and all opportunities across
    organizational stakeholders are maximized.
Skills and Qualifications
  • Bachelor’s or masters degree or commensurate
    experience.
  • Experience in operations is required (minimum 2-3
    years professional experience).
  • Experience in sales is an asset.
  • Knowledge of the travel industry is a meaningful
    asset.
  • Demonstrated leadership skills, maturity and
    professionalism with proven ability to drive projects forward with minimal
    direction.
  • Demonstrated management experience.
    • Demonstrated experience with implementing new
      technologies.
    • Demonstrated experience in project management.
    • Positive and professional attitude and ability
      to work as a team player.
    • Possession of a valid driver’s license is
      preferred.
    • Willingness to travel to represent Me to We.
    • Willingness to obtain TICO certification (if
      candidate has not yet been certified).
  • Strong understanding and experience with adult,
    family and corporate clients.
  • Excellent adherence to strict timelines and
    detail, with excellent organizational abilities.
  • High degree of flexibility; open to working
    evenings and weekends as needed and motivating the team to do the same.
  • The desire to work in a fast-paced,
    results-oriented department and time manage effectively.
  • Strong ability to seek new opportunities and
    think creatively.
  • Powerful work ethic, both as a team member, but
    also as a self-starter.
  • Experience working with Microsoft Excel, Word, PowerPoint,
    Adobe Acrobat, and Salesforce.
  • International travel experience is an asset.
