insurance and property/casualty insurance products as well as unit trusts,
asset management and property investment; is seeking to recruit a result driven
and motivated individual for its Rwanda office for the vacancy above :-

Reporting to : General Manger/ Principal officer
REF:BAG/R/SPA/2
Job Objective:  The jobholder will be responsible for providing secretarial and
administrative support to the General Manager/Principal Officer as well as
other senior managers as requested.
Duties and
Responsibilities:
  • Maintaining the General Manager’s diary,
    scheduling appointments and organizing meetings;
  • Responding to all enquiries and requests;
  • Dealing with correspondence;
  • Office management;
  • Creating and maintaining up-to-date records
    through filing and archiving, while ensuring the safety and
    confidentiality of such records;
  • Telephone control and maintain expense within
    budget;
  • Data capture and typing  accurate all
    correspondences and reports;
  • Accurate and organized filing of documents;
  • Manage the front office service and ensure
    quality customer service;
  • Petty cash Administration, neat and accurate
    petty cash records;
  • Management and control of stationery, timely
    requisition;
  • Ensure timely correspondence with the Head
    Office;
  • Receiving and dispatching of correspondences
    in the company and to the clients;
  • Assists in other duties as needed and
    directed.
Qualification and Skills:
  • Bachelor degree Business Administration,
    Management or Communication an added advantage.
  • Higher Diploma in Secretarial Studies;
  • At least 3 years working experience in a
    similar role
  • Demonstrated proficiency in computer/software
    packages e.g. Microsoft Word, Excel, and PowerPoint etc.
  • Ability to use office and communications
    equipment/systems such as fax, e-mail etc.
  • Ability to maintain confidentiality and high
    integrity.
  • Strong inter-personal skills and ability to
    work in a team-oriented and collaborative environment;
  • Ability to work in a fast paced and highly
    entrepreneurial environment;
  • Excellent written and verbal communication
    skills including note taking and summarizing skills and the ability to
    communicate well at all levels in a clear, appropriate and timely manner;
  • Demonstrated ability to prioritize and handle
    multiple critical projects and assignments;
  • Strong attention to detail and high level of
    accuracy;
  • Strong team player with excellent leadership
    skills.
