PROJECT BACKGROUND
Behavior Change and Social Marketing project (BCSM) is a five year project funded by PEPRFAR /USAID. This project is managed in consortium of three (3) International Organizations namely CHF, JHUCCP and PSI as the Lead Organization.
Through the Behavior Change Social Marketing (BCSM) Project, CHF Rwanda is responsible for institutional capacity building for local implementing partners, with an emphasis on finance and human resource management, strategic planning, and strengthening of administrative systems and procedures.
PROJECT DETAILS
RPOs are responsible for the direct implementation of all BCC interventions, with technical and institutional assistance from the BCSM International Partners. A number of strong RPOs have been selected, based on their past performance and potential to grow further, to manage all community-based BCC interventions, including the Compassionate Communities.
Its against the above background that CHF International/Rwanda would like to hire a professional consultants firm(s) or Qualified individuals to supply QuickBooks Accounting Software to seven (7) Rwandan Partner Organizations. Each organization will get a multi user version installed in their respective computers. This will be followed by providing seven days on job training for at least the finance staff from each of the Seven RPOs.
1. THE SCOPE OF THE SERVICES REQUIRED INCLUDES BUT NOT LIMITED TO:
• Supplying Multi User Add on Pack QuickBooks version 2010 to be used by the finance department for at least four (4) Rwandan Partner Organizations (RPOs).
• Install the Software on computers equal to the number of user licenses purchased.
• Access and use the Software solely by the number of specific persons corresponding to the number of users license purchased.
• Place a copy of the software data files on a network for access by licensed users.
• Updating the existing Single User Version QuickBooks for four (4) other RPOs into Multi User QuickBooks Version 2010.
• On job training for finance staff of each RPO for at least seven (7) working days.
• Exporting all excel and QuickBooks financial data into the updated or new QuickBooks and balancing all the RPOs financial Reports.
• Provide after training support for queries from RPOs for at fifteen (15)days after training e.g. technical maintenance and answering questions from concerned staff
2. REQUIRED QUALIFICATION AND EXPERIENCE.
• The successful firm/Individuals must have the relevant technical expertise in the areas of QuickBooks installation, training and management
• Proven track record of providing professional advice and consultancy on QuickBooks or and any other accounting software.
• Proven track record in installation, maintenance of accounting software and management
• Able to have and hire experienced QuickBooks trainers and experts to support our partners in installation, data entry and management
• Demonstrate abilities to mentor and train RPOs finance team during and after the data entry process.
• The staff assigned to this activity by the firm or individual consultants must have a good knowledge of written and spoken English and or French as well as the ability to train software users.
• They must have good communication skills since they will interact with a variety of clients in different organizations.
• Established record of project delivery, preferably including work within the Rwandan Civil Society sector;
3. REPORTING
The Selected firm or individual consultants will work under the direct supervision of the CF-IF International/ Rwanda’s Capacity Building Team and the RPOs finance staff will provide feedback on the satisfaction of services provided by the contractor
4. REQUIREMENT
The consultant is required to submit a Technical and Financial Proposal explaining how this assignment will be accomplished accompanied by a detailed schedule of activities.
Technical Proposal should describe:
• The approach and methodology to be used;
• Processes required while completing the assignment
• Team composition, skills and experience
