Job Title: ADMINISTRATIVE ASSISTANT TEST AND TREAT PROJECT – MASAKA Reports To; Test and Treat Coordinator

Job Summary: To provide administrative, secretarial and management support to the Uganda test and treat project.

Key Tasks
Secretarial:
• Coordinates and schedules appointments, meetings and cancels meetings and appointments as requested in a timely manner
• Keeps records of documents in a retrievable manner according to AHF guidelines
• Creates and maintains fifing system in an organized manner
• Records, and take minutes of meetings accurately and circulates them in a timely manner

Administration:
• Maintains adequate stocks of office supplies
• Tracks inventory of office equipment and ensures that all equipments are well maintained.
• Keeps all original documents pertaining to motor vehicles and equipments in safe custody
• Liaises with drivers to ensure that motor vehicles are well maintained, with up to date insurance cover

Management of petty cash:
• Requisitions for petty cash replenishment to ensure adequate cash at all times
• Ensures timely delivery of payment requisitions to secretariat
• Monitors cash expenditure and reports to the T&T coordinator as appropriate
• Updates the petty cash book on a day to day basis
• Keeps safe custody of petty cash

Supervisory Responsibilities: Will directly work with and supervise the driver and maintenance worker

Job requirement
Education and experience: A Degree or equivalent in Secretarial Studies from a recognized institution;

Strong secretarial skills and computer skills including proficiency with MS Word, spreadsheets, e-mail. Publisher and Power Point; A minimum of 3 years relevant work experience with a reputable organization

Other desired skills: Fluency in English; excellent interpersonal, organizational and management skills, note taking and typing skills, ability to work in a team.
